Position Overview:

Processes and services Hampton Convention & Visitor's Bureau (HCVB) booked sports, conventions and events. Coordinates local resources to meet the needs of event planners to ensure their success and to encourage repeat business.

Key Responsibilities:

  1. Work with event planners and Senior Sales Manager to determine the level of services to be rendered based on the size of event/group/team, number of attendees, characteristics, and specific needs of sport. Acts as liaison between event planners and private and public community resources to ensure successful events.
  2. Conduct on-site visits prior to events to introduce clients and coordinate with HCVB and hospitality stakeholders. Coordinates service delivery from initial booking through event completion.
  3. Serve as the primary manager of sports flooring and net system used in the Hampton Roads Convention Center (HRCC) by sports events. Manage portable sports flooring/equipment, including coordinating its use and scheduling of staff to execute events, and acting as on-site manager of portable sports flooring and equipment during contracted events.
  4. Hire, coordinate, and supervise staff needed to set up and break down flooring and equipment; oversee the delivery of portable sports flooring and sport-specific equipment to contracted venues; inspect all flooring and equipment prior to, during, and after use, and report any damage to Senior Sales Manager.
  5. Recommend and coordinate necessary repairs of portable sports flooring and equipment to retain its optimal condition and ensure inventory is stocked with supplies reordered as needed. Consistently operate within established budget.
  6. Maintain thorough knowledge of Hampton and the Hampton Roads community, sports venues, hotels, alternate sites, attractions, free time activities, entertainment, restaurants/eateries, caterers, ground transportation, speakers, photographers, florists, shopping, vendors, outside services, and available materials.
  7. Utilize the HCVB directory of services to offer event planner services provided by area businesses.
  8. Utilize the HCVB library of promotional materials for event planners which includes videos, suggested itineraries, logos, bags, fliers, and maps. Work with a variety of vendors such as merchandise vendors, exhibit companies, audio-visual companies, event promoters and other related services to ensure successful execution of events.
  9. Coordinate with hotels to confirm rates, cut-off dates and reservation links, and create hotel information flyers and web links for event owners to disseminate to event participants. Confirm hotel room pick-up at conclusion of events.
  10. Compile statistical information related to sports events held in the city, including room nights generated, room blocks per property, and invoice hotels for rebates when applicable. Assist sports event operators with hotel data collection and economic impact statistics during large-scale tournaments.
  11. Coordinate information regarding sports events to hospitality stakeholders and city leadership under the guidance of the Senior Sales Manager. Coordinate information for press releases, publicity, website content, and social media with HCVB media staff.
  12. Represent Hampton CVB by attending a variety of events and meetings in and around the city and region.
  13. Foster relationships with local military installations, colleges/universities, civic organizations, and high school athletic teams/clubs to recruit volunteers for athletic events. Manage volunteers during events, ensure appropriate waivers are received prior to volunteer shifts and provide a letter of gratitude to serve as confirmation of volunteerism.

Minimum Requirements:

  1. Graduation from an accredited college or university with a Bachelor's Degree in Sports Management, Event Management, Parks, Recreation & Leisure Services, Marketing, Business, Public Relations or other related field.
  2. Five (5) years of experience in athletics, sales or customer service; experience in the hospitality industry and/or sports field is preferred.
  3. Thorough knowledge of computer software such as Microsoft Word, Excel, PowerPoint, and internet marketing skills.
  4. Effective organizational skills to manage multiple tasks and details, passion for sports and background in event planning. Strong sense of initiative and desire for exceptional performance.
  5. Must possess excellent communication, presentation, and interpersonal skills.
  6. A combination of education and experience may be considered for this position.

Demonstrates regular and punctual attendance. Performs other related duties as required.
