Summary
The Legal Administrative Assistant (LAA) is responsible for producing a variety of work products related to attorney/client interactions. Responsibilities include the production of documents, management of time entry, coordination of travel plans, meetings, and communications, handling of mail and correspondence, expense entry, and file maintenance. The LAA must work effectively with various law firm members, including lawyers, paralegals, and staff, while maintaining respect, confidentiality, and professionalism.
This position reports to the LAA Supervisor/Office Manager and works under the direction of assigned attorneys and paralegals.
Required Education & Experience
- High School diploma or equivalent.
- 3-4 years LAA experience or equivalent.
- Strong computer skills required with Microsoft Word and Outlook, as well as with file document management tools such as FileSite or WorkSite.
Preferred Education & Experience
- College or business school.
- Prior experience in the assigned practice area(s).
- Strong computer skills with PowerPoint.
- Law firm experience preferred.
Essential Functions
- Legal Administrative Support (75%)
- Responsible for typing and modifying legal documents accurately and within requested timeframes, prioritizing work among assignments and meeting specific deadlines.
- Coordinates document preparation with Work Product Support Services as needed.
- Prepares documents for e-filing as required.
- Reviews and routes incoming mail and processes outgoing mail and faxes.
- Maintains paper and electronic files in compliance with current policies.
- Manages incoming calls, assists in coordinating calendars, expense reports, travel, and meeting arrangements.
- Prepares daily time entries for assigned attorneys and coordinates client billing matters.
- General and Administrative (5%)
- Demonstrates effective teamwork and assists other LAAs as time permits.
- Serves as a backup LAA to assigned timekeepers.
- Performs other duties as assigned.
Supervisory Responsibility
This position has no supervisory responsibilities.
Travel
No travel is expected for this position.
Work Environment & Physical Demands
This job operates in a professional office environment, using standard office equipment. The employee must be able to sit, use hands and fingers, and occasionally lift up to 25 pounds.
