Join JRC’s Security and Facilities Team!
We are actively seeking an Administrative Assistant to support JRC’s Director of Facilities and Security. This critical role involves greeting guests, managing visitor access and IDs, issuing and collecting badges, and providing senior-level Front Office support to the Facility/Security Team. Responsibilities include coordinating Conference Room Calendars, scheduling meetings, and handling classified VTCs. Strong organizational and communication skills, along with adaptability, are essential. Candidates must obtain and maintain Top-Secret National Security Clearance, with preference for those with security knowledge. The position also involves high-level administrative support to ensure efficient office operations.
As an Administrative Assistant, you will...
- Provide administrative support for office personnel
- Provide conference room refreshments with coordination prior, during, and after meetings
- Maintain front desk area, keeping it clean and free from clutter as well as other office common areas
- General clerical duties including photocopying, faxing, and mailing
- Answer, screen, and transfer inbound phone calls
- Verify VARs, receive, and direct visitors and customers
- Enter employees into the Access Control System for Suite access and maintain inventory of access badges
- Submit requests for CAC, review requests, and submit to the Trusted Agents
- Coordinate and maintain office roster of staff, telephones, parking, and seating chart
- Maintain electronic and hard copy filing system, retrieve documents from filing system
- Schedule and coordinate conference rooms including prepping in between meetings
- Maintain office supply inventories for the entire suite
- Coordinate maintenance of office equipment, kitchen areas, and facilities
- Assist with distribution of incoming mail and prepare outgoing mail including bulk mail
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails
What you bring to the table...
- Clearance: An active Public Trust or DoD SECRET level security clearance (or above)
- Education: High school diploma
- Experience: 3+ years of relevant professional experience
- Skills:
- Intermediate to advanced MS-Word, Excel, PowerPoint
- Standard office equipment, clerical/administrative procedures
- Planning, organizing, prioritizing multiple tasks
- Cooperative work independently or as a team
- Attention to detail and accuracy
- Flexibility and adaptability
- Customer service orientation
- Excellent written and oral communication
- Typing: 50 WPM minimum
