Job Description
The Executive Assistant will provide critical support to senior leadership by managing administrative tasks, coordinating travel, and handling sensitive information with discretion. This role requires a proactive professional with exceptional organizational skills, a keen eye for detail, and the ability to excel in a fast-paced environment.
- Executive Administrative Support
- Manage executive calendars, schedule meetings, and prepare reports and presentations.
- Serve as the primary liaison for internal and external communications.
- Welcome and assist visitors, clients, and vendors professionally.
- Travel and Event Coordination
- Organize domestic and international travel arrangements.
- Plan and execute executive events, meetings, and functions.
- Coordinate schedules for event attendees and ensure smooth logistics.
- Expense Management
- Prepare and reconcile expense reports.
- Oversee budgets for travel and events.
- Track and process credit card transactions and reimbursements.
- Operational and Project Support
- Act as a liaison between executives and departments.
- Facilitate special projects and track task progress.
- Maintain confidentiality while handling sensitive information.
- Office Organization
- Manage office supplies and maintain organized filing systems.
- Coordinate courier services and vendor deliveries as needed.
- Experience: Minimum of 5 years in an Executive Assistant or similar role supporting senior leadership.
- Education: Bachelor’s degree preferred or equivalent experience.
- Technical Skills:
- Proficiency in Microsoft Office Suite (Teams, SharePoint, Outlook, Word, Excel, PowerPoint).
- Familiarity with travel booking systems and expense management software.
- Quick adaptability to new tools and technology platforms.
- Soft Skills:
- Exceptional organizational and time management abilities.
