This role requires a strong background in healthcare training, excellent communication skills, and the ability to motivate and guide others.
This position is an on-site position and is not remote. The position is located in Newport Beach and typical hours are Monday - Friday 8 am - 5 pm.
JOB SUMMARY: The Lead EHR Trainer plays a critical role in facilitating the successful adoption and utilization of the organization's electronic health record systems. Under the guidance of the CIO, the Lead EHR Trainer is responsible for ensuring all electronic health record (EHR) users, including clinical and non-clinical teams, achieve proficiency with the EHR system. This role is responsible for the development, maintenance, and delivery of comprehensive training programs related to the implementation and utilization of the EHR, including the creation of materials, management of the EHR training environment, and provision of ongoing support to optimize healthcare processes and workflows. This role requires a deep understanding of both the technical aspects of EHR systems and the clinical workflows within the organization. The Lead EHR Trainer works in a team-based model of care.
JOB RESPONSIBILITIES:
- Training Program Development: Design and deliver training programs for all EHR users, utilizing a variety of educational media to develop state-of-the-art training materials that meet diverse user needs.
- Instructional Design: Engage in the analysis, design, development, implementation, and evaluation of the training curriculum. Develop tip sheets, how-to guides, video tutorials, e-learning modules, and other instructional materials.
- Training Material Management: Develop and maintain a portal for storing all EHR-related training materials, ensuring easy access and regular updates to reflect the latest system functionalities and workflows.
- Collaborative Workflow Standardization: Work closely with EHR Support Specialists to standardize workflows based on clinical rounding findings. Identify opportunities to develop smart toolsets to enhance role effectiveness.
- Communication and Documentation: Create simple, clear, and effective communication and documentation. Explain complex topics in direct language that is engaging and applicable to the delivery medium.
- Training Delivery: Schedule and conduct a range of training sessions, including classroom, Microsoft Teams / Zoom, blended, remote 1:1, and in-person 1:1 training.
- Train the Trainer: Empower EHR Team, Super Users, and other key personnel with the necessary skills and knowledge to support training efforts across the organization.
- Continuous Assessment and Support: Regularly round throughout all departments to assess training needs, provide user support, and manage a variety of training projects to completion.
- Project Management: Develop project timelines, identify milestones, barriers, and dependencies. Work with leadership to find and allocate resources, establish deliverables, and keep projects on track.
- Optimization Initiatives: Participate in workflow and system optimization initiatives to enhance end-user expertise and system efficiency.
- Engagement and Motivation: Develop scenario-based education, web-based microlearning, and video snippets to increase learner engagement and motivation.
- Material Validation and Maintenance: Coordinate with subject matter experts to validate training content. Maintain and update the library of e-Learning materials.
- Training Effectiveness Evaluation: Develop and conduct user evaluations to collect data on training effectiveness and suggest improvements.
- Collaborate with IT leadership, clinical leadership, and other departments to ensure alignment between EHR training initiatives and organizational goals.
- Change Management and Support: Assist with change management processes, manage EHR-related tickets, and perform various tasks as needed to support users and organizational goals.
- EHR Help Desk Support: Staff the EHR help desk phone line as required, providing first-call resolution for EHR how-to questions/issues and documenting transactions.
- Technical Support and Troubleshooting: Troubleshoot common EHR system issues, software glitches, and user errors. Knowledge of basic IT concepts and terminology is beneficial for effectively addressing technical inquiries and providing user support.
- Provide user proficiency reporting to leadership as requested.
- Travel to Share Ourselves sites for training and support sessions (15%).
- Other tasks as assigned.
QUALIFICATIONS:
- Demonstrated ability in troubleshooting and problem-solving in a clinical or IT setting. Software support or help desk experience preferred.
- Ability to engage participants through interactive training methods that promote learning retention.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Innovative and creative approach to training and problem-solving.
- Technical proficiency in Epic and a broad understanding of healthcare technologies.
- Leadership and mentorship skills to guide EHR team and users across all levels of use.
- Analytical skills for assessing training needs and effectiveness.
- Good clinical operational knowledge.
- Medical Terminology experience required.
- Demonstrated planning and organizational skills.
- High degree of confidentiality, integrity, and professionalism.
EDUCATION and/or EXPERIENCE:
- Associated degree required; Bachelor’s degree strongly preferred.
- Certification in relevant EHR systems required (e.g., Epic Certification).
- Minimum of 3 years of experience in training users in EHR required; ambulatory healthcare setting preferred.
- Experience with EHR/EMR upgrades and usage of upgrade tools required.
- Proven experience as a trainer or educator in a healthcare setting to include working side by side to provide elbow support in the use of EHR/EMR required.
- Proficient in instructional design, adult learning principles, and training methodologies.
- Strong understanding and experience with clinical workflows required.
- Strong project management skills and experience in process improvement.
- Excellent communication, presentation, and interpersonal skills.
- Ability to work independently and collaboratively across teams.
COMPUTER and EQUIPMENT SKILLS:
- Microsoft Office Suite Applications.
- Support Request Ticketing System.
- Internet and Internet Protocol related technologies.
- Proficiency with Electronic Health Record (EHR) Systems.
- Familiar with Learning Management Systems (LMS), Screen Recording and Presentation Software; Webinar and Virtual Meeting Platforms; Document Management Systems; Data Analysis and Reporting Tool; Project Management Software.
