Position Title: Executive Assistant to the Divisional Director of Development

Supervisor: Divisional Director of Development

FLSA Status: Exempt

Full-time Date: April 2024

Annual Salary Range: $50,000 - $55,000

JOB SUMMARY: The Executive Assistant is responsible for providing day-to-day administrative support to the Divisional Director of Development. The Executive Assistant must possess strong organizational skills with a keen eye for detail, be flexible and able to handle multiple priorities simultaneously, and have good judgment. The individual must be able to work independently or with little supervision, be self-motivated, set priorities, and apply excellent time management skills.

ESSENTIAL QUALIFICATIONS:

  1. Must embrace, support, and always reflect well on The Salvation Army’s mission and values.
  2. Some college or post-secondary education required; college degree preferred.
  3. Minimum 2-year experience as an administrative assistant.
  4. Project oversight and development experience preferred.
  5. Effective interpersonal, conversational, and presentation skills, demonstrating emotional intelligence and excellent writing abilities.
  6. Enjoy problem-solving, think strategically and creatively, and take initiative with good follow-through.
  7. Mission-minded team player, able to collaborate effectively with officers, staff, and volunteers.
  8. Able to work independently in a fast-paced environment with excellent documentation skills.
  9. Highly organized and able to manage multiple projects and competing priorities professionally.

ESSENTIAL FUNCTIONS:

  1. Corresponds on behalf of the Divisional Director of Development with internal and external constituents.
  2. Conserves the Divisional Director of Development’s time by managing correspondence and communications.
  3. Maintains the Divisional Director of Development’s appointment schedule.
  4. Assists in the development of presentations using PowerPoint and Excel.
  5. Produces information by transcribing, formatting, and editing documents.
  6. Oversees special projects for the department.
  7. Maintains confidentiality of sensitive information.
  8. Oversees communications with the advisory board and prepares necessary documents.
  9. Completes various administrative duties as needed.
  10. Ensures project completion by following up on results.
  11. Prepares reports by collecting and analyzing information.
  12. Secures information by completing database backups.
  13. Maintains office supplies and marketing inventory.
  14. Ensures operation of equipment through preventive maintenance.
  15. Reconciles business travel and expense accounts monthly.
  16. Welcomes guests and customers professionally.
  17. Maintains professional knowledge through workshops and publications.
  18. Travels to different sites as needed.
  19. Performs other duties as directed by the supervisor.

PHYSICAL DEMANDS: The position requires various physical activities including sitting, standing, walking, and lifting up to 50 pounds.

COMMUNICATION DEMANDS: The position requires professional verbal and written communication with various stakeholders.

OTHER REQUIREMENTS/TECHNICAL KNOWLEDGE: Valid Hawaii driver's license required; travel off-island as necessary.
