Mission

The mission of the Senior Executive Assistant will be to organize and manage the schedules, daily activities, commitments, and deadlines of the firms partners, thereby enabling the partners to focuswith ease and confidenceon activities critical to the success of our clients and our firm. The Senior Executive Assistant will be the supportive force that empowers and enables the firms partners.


Position Description

Ascendient is seeking an experienced, responsible, decisive, and congenial Senior Executive Assistant with well-honed communication skills (oral and written), organizational competencies, and balanced judgment. The work is detail-oriented, time-sensitive, and frequently involves confidential information. The Senior Executive Assistant will need to be adaptable, timely, discreet, measured in manner, sensitive both to the priorities and to the circumstances of the moment, and an adept problem-solver.


The Senior Executive Assistant is a full-time position with a Base Salary range of $86,000 - $117,000 per year. In order to most effectively support the firms partners and work collaboratively with other members of the firm, the Senior Executive Assistant will work from Ascendient's Chapel Hill, NC office full time.


The Senior Executive Assistants responsibilities include:

  • Scheduling, organizing, and prioritizing calendars with continually evolving client demands, meetings, travel, partner desk-work time, movements, and shifting prioritiesboth business and personal
  • Managing partner work deadlines; anticipating partner needs related to meeting those deadlines
  • Conserving partner time by reading, organizing, writing and editing communications on the partners behalf in a time-sensitive/urgent manner
  • Managing and attending meetings, as applicable, including drafting agendas, note-taking and propelling post-meeting actions
  • Organizing files, creating materials for meetings, and ensuring that the partners are prepared for each day
  • Organizing and locating documents stored electronically and in paper files on a continual basis
  • Managing travel arrangements, ensuring itineraries are accounted for, confirmations are maintained, and advance materials are coordinated

Proficiencies

Forward-Thinking: The Senior Executive Assistant will enable the partners to execute at the highest levels by anticipating needs, staying ahead of the partners, and clearing their paths for optimal performance.


Quality Communication: The Senior Executive Assistant will excel at communication, both written and oral, including proficiency in spelling, grammar, and punctuation. The Senior Executive Assistant will be proficient at digesting volumes of information and quickly summarizing in writing and/or orally. The Senior Executive Assistant will also be adept at tracking communication across multiple channels without losing any details; channels may include calls, emails, messages, in-person meetings, and virtual meetings.


Poise and Discretion: The Senior Executive Assistant will work routinely with confidential informationboth the firms and our clients; thus, discretion and sensitivity regarding such information is critical. The Senior Executive Assistant will exhibit strong interpersonal skills and the ability to handle discreetly sensitive and confidential matters. The Senior Executive Assistant will be a creative and calm problem solver, while continually demonstrating poise, tact, sound judgment, diplomacy, humility, and aplomb.


Organized, Detail-Oriented, Multi-Tasking: The Senior Executive Assistant will exhibit outstanding organizational skills, the ability to manage multiple tasks and interruptions with ease, and the persistence to meet deliverables with grace and finesse. The Senior Executive Assistant will sustain relentless attention to detail.


Initiative: The Senior Executive Assistant will be a self-starter, who self-directs and manages well through ambiguity, while consulting others appropriately. The Senior Executive Assistant will demonstrate a strong work ethic and sustained energy. Using their experience and expertise, the Senior Executive Assistant will promote opportunities to improve the firms workflow, processes, and procedures.


Healthcare Affinity: The Senior Executive Assistant will have sufficient interest in healthcare and the strategic vision of the firm to ensure rapid development of an astute, working knowledge of our clients and the firms business.


Qualifications

The Senior Executive Assistant will meet the following qualifications:

  • Bachelor's degree, preferred.
  • At least 8 years of C-suite (or equivalent) experience is required. Experience with professional services firms is an advantage.
  • Superior proficiency in a variety of computer software applications (including Outlook, Microsoft Word, Excel, PowerPoint, Adobe, Teams, ShareFile).
  • Excellent knowledge of office administration procedures and the operation of standard office equipment, systems, and programs.

The interview process for the Senior Executive Assistant consists of the following:

  1. A 30-minute Introductory Interview with Ascendient's Chief of Staff
  2. Up to three virtual interviews (via Zoom) with senior leaders at Ascendient
  3. A 1-hour Case Study Exercise that will assess your organizational skills and attention to detail. The Case Study consists of a 15-minute Intro Call, 30 minutes of independent work, and a 15-minute Wrap-Up Call.
  4. A 40-minute online assessment, done independently, that examines your behaviors, motivators, acumen, and competencies in relation to the role requirements
