The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting.
Position Summary Reporting to the Senior Director, Development and Strategic Initiatives, the Fu Foundation School of Engineering and Applied Science (SEAS) at Columbia University, and working closely with the Vice Dean for Advancement, the Assistant Director is a key role within the Engineering and Development and Alumni Relations Team (EDAR) and School. This role will provide professional operational support on a wide variety of project assignments, specifically Columbia Engineering’s campus expansion and new Engineering for Humanity Building on the Manhattanville campus. The Assistant Director will provide overall coordination of projects to ensure completion within space, and time limits in order to enhance the overall operation of the School and facilitation of the new building. The incumbent will learn to use professional project coordination concepts to resolve problems of limited scope and complexity. The Assistant Director will coordinate and complete routine projects, requiring judgment and decision-making. They will assist with the overall project management including assisting with planning and implementation, volunteer management, writing communications, proposals and reports, maintenance of records, including personnel and budget management, and evaluation. This role will assist in daily oversight of operations and board management within this unit relating to the School’s important expansion planning for the Manhattanville campus. The successful candidate will be a trusted collaborative colleague across the School and OAD communities possessing excellent communication and organizational skills to effectively interface between the Dean’s office, Senior staff and faculty and other high-level University stakeholders, including some of the School’s highest level alumni, donors and volunteers, as well as internal officials and Office of Alumni and Development (OAD). Responsibilities Campus Expansion (85%) Main focus is supporting the Columbia Engineering for Humanity expansion at Site 6 effort, including the Campaign Council and Advisory Group volunteers and associated project management and logistics.
Oversee the timely gathering, analysis, and presentation of data from multiple content owners for each meeting. Gather, review, analyze, and write a variety of data that is presented to the Council, Advisory Groups, and faculty.
Organize, maintain, communicate, and coordinate scheduling and logistics needs for the Site 6 Campaign Council, faculty and Advisory Group meetings. Function as the secretary for the Council and Advisory Groups, including minute-taking at meetings.
Work and collaborate with the development team, faculty leadership and Dean’s office. Draft correspondence for use by the Dean, Vice Dean, faculty, senior administrators, and key volunteers for various purposes. Work independently to gather pertinent information that reflects the prospects' interests and involvements.
Create and maintain project timelines and ensure necessary stakeholders are informed of timeline changes. Set up project plans and prioritization methods while providing leadership to the project team and identifying the right resources for the right tasks. Use Smartsheets as a tool and manage the team interface of Smartsheets.
Assign tasks, track progress, and ensure resources are properly allocated to match project priorities. Assign tasks to project staff to ensure balance and avoid operational team overload. Provide work assignments, work direction, and work evaluation. Monitor that standards are being followed. Identify, evaluate, and escalate project risks and proposed solutions.
Design and implement stakeholder engagement tactics to help manage stakeholder expectations. Develop special tactics as needed to address resistance to change. Research technology trends that may impact the School. Identify strategic risks and opportunities.
Develop briefing materials, PowerPoints, talking points, proposals and other supporting materials for use by university representatives and key volunteers. Research and gather information as necessary to ensure accuracy of materials. Clarify, synthesize, and customize information to the intended audience.
Maintain communication with the Dean’s Office, academic partners on major initiatives, as well as campus and OAD partners.
Administrative Operational tasks (15%) Create proposals and gift agreements for high-level prospects. Provide reporting, including preparation of donor reports and donor research. Conduct related research and special reports involving fundraising initiatives and objectives; track and report on volunteer and fundraiser activity.
Update data, enter reports, load proposals, and maintain accurate records in Advance/Athena Database, as well as liaise with the Gift Systems and Gift Agreements team. Facilitate donation transmittals and serve as the point of contact for any gift/grant budget and proposal issues across the team, SEAS and OAD.
Act in an executive assistant capacity to maintain and manage calendar and travel for Senior Associate Dean and Senior Director, as needed.
Other duties as assigned.
Minimum Qualifications Bachelor’s degree in business management, social science field, or other closely related field. Interest and/or experience in an academic setting is a plus.
At least 2 years of related experience, or an equivalent combination of education and experience is necessary with a demonstrated track record as a problem solver, project manager and strong communicator with accurate, detail-oriented, English grammar knowledge and written expertise, as well as verbal savvy.
Must possess strong knowledge of business administration; good written, verbal communication, and organizational skills; ability to work with students, faculty, staff, administration, and outside agencies; good presentation skills; self-motivation; accountability; and able to provide leadership. Ability to track data, outcomes, and present information in compliance with federal requirements. Travel to an annual national conference and additional other travel may be needed.
Prior experience managing complex, long-term projects is preferred. Must possess project management experience, knowledge of training and professional development principles, excellent written and verbal communications skills, ability to communicate technical concepts and ideas to individuals and groups.
Must demonstrate independent thinking and sound judgment; must have exceptional computer literacy and expert/advanced skills in Microsoft Office Suite (Word, PowerPoint, Excel) and Google Suite, Smartsheets and Salesforce; must have an interest in working with volunteers and faculty; strong skills in relational databases like Advance/Athena and Salesforce, and the willingness and aptitude to learn other applications as needed is also important.
Must possess an ability to work well with all levels of management (including executive management), both internally and externally, be flexible in nature, have a sound judgment with a collaborative style that fosters teamwork and cooperation beyond the immediate team to the broader organization. Must have a passion for excellent customer service and commitment to exceptional quality. He/she/they must be able to work independently, in a fast-paced environment prioritizing and juggling multiple projects and changing priorities daily. As a trusted partner and team member the Assistant Director will grasp nuance and maintain confidentiality.
Preferred Qualifications Strong interest in fundraising, project management or experience in development and/or alumni relations is desirable; strong interest in interacting with people, learning new cultures and building relationships is a plus.
