Our client is seeking an experience Legal Secretary to join their Midtown Manhattan law firm. As the Legal Secretary, you will collaborate with the Secretary team, support Attorneys, and work alongside Paralegals. You will have strong tenure in your previous roles and be ready to take on a new position.

Description
Provide high-level administrative support to assigned attorneys
Assist attorneys with drafting, editing, formatting, and producing legal documents, correspondence, and other materials with a high degree of accuracy
Prepare and file pleadings and other legal documents with state and federal courts
Maintain client files (electronically & physical) - ensuring they are up-to-date, complete, and accessible
Oversee multiple attorney calendars for scheduling meetings, court appearances, and other key appointments.
Communicate with attorneys on updates for deadlines and time-sensitive obligations
Review and edit documents for proper formatting, grammar, and spelling
Handle attorney timekeeping and billing by entering time, reviewing pro forma bills, and preparing final billing statements and cover letters for client submission
Manage the intake process for new client matters, ensuring all relevant information is gathered and recorded for effective case management
Answer incoming calls and emails for attorneys and communicate messages
Meet and greet incoming visitors and clients with a professional and responsive manner
Coordinate travel logistics including booking flights, accommodations, and transportation
Assist with closing client matters by preparing and formatting closing documents, signature pages, and binders in accordance with firm standards
Work closely and act as backup support to the legal & administrative staff team
Assist with general administrative and office support duties as needed throughout the office
Profile
Bachelors Degree is preferred
Strong tenure in a previous law firm
3-10+ years of experience as a Legal Secretary
Previous experience with ECF filing
Excellent communicator - written & verbal
Ability to be problem solution oriented
Ability to be flexible and adaptable
Ability to work in a very fast paced environment
Ability to work on-site 4x per week in New York City
Willingness to travel for trials, arbitration, hearings, and other case-related projects. Ability to work overtime as needed.
