Administrative Assistant to Minister of Justice, Advocacy & Change
Location: The Riverside Church in the City of New York (New York, NY)
Reports to: Minister of Justice, Advocacy & Change
Department: Minister of Mission and Social Justice
Schedule: Full Time/Temporary - Monday to Friday: 9-5; Occasionally required to work flexible hours, including evenings and weekends, to support events
Salary Range: $57,000 to $60,000
Date: 6 Months from Date of Hire
Job Summary:
Reporting to the Minister of Justice Advocacy & Change for Administrative Services, the Administrative Assistant will provide administrative support for the day-to-day operations of the office of Mission & Social Justice. This successful candidate will demonstrate a strong sense of professionalism and excellence in all work-related matters. This person will interact with staff at all levels, providing assistance and maintaining discretion and confidentiality on matters to which they are privileged at all times. This person must exercise mature judgement; be able to multitask and prioritize work; and handle complex, time-sensitive requests expeditiously. The candidate will exhibit a strong attention to detail and maintain high level of accuracy at all times.
Essential Job Responsibilities:
- Helps coordinate the Minister's complex meeting schedule and prepares meeting materials and follow-up documents.
- Responsibilities include attending Mission and Social Justice Team meetings, recording detailed minutes, and distributing them to the MSJ team.
- Welcomes guests, in person and on the telephone, and serves as the principal public relations ambassador for the directors, answering or directing inquiries as needed. Responsible for creating an office environment that is sensitive and responsive to the needs of The Riverside Church's varied constituencies.
- Provides administrative support as needed for complex, deadline-driven projects, including: assisting with preparation of correspondence and materials; tracking and handling reimbursements and expenses; compiling documents and materials in preparation for meetings; copying, scanning, and printing documents.
- Participates actively in organizational initiatives and projects.
- Assists in planning, execution, and coordination of assigned special events, ensuring timely progress tracking and addressing pending tasks. Demonstrates adaptability and flexibility, making necessary adjustments as plans evolve.
- Coordinates room reservations and bookings for department meetings and special events, include: filling out room reservation forms, track, confirm, follow-up, and assist with prioritization of requests, catering, and AV; tracking and managing RSVPs.
- Manages incoming requests to the office; collects, researches and analyzes information, decides on a daily basis the best routing for various inquiries.
- Responsible for priority decisions regarding callers, meetings, and correspondence.
- Manages the office budget, ensuring effective management of purchasing for supplies and program materials. Monitors inventory levels and orders additional supplies as needed to maintain smooth operations.
- Maintains electronic files and databases. Maintains integrity of information.
- Gathers the church-wide prayer list- reaches out to and follows-up with congregants who require prayer, noting their requests and compiling them for distribution to senior leadership.
- Routinely analyzes and evaluates workflows to ensure maximum efficiency.
Experience and Education Requirements:
- Bachelor’s degree preferred
- Board management experience preferred
- years of related experience in an executive administrative role
- Demonstrated ability to work with discretion within a confidential environment
- Excellent verbal and written communication skills, including letter and report writing, minute-taking, proofreading, etc.
- Proficient in Microsoft suite of products including Word, Excel, Power Point,
- Proficient in Internet research tools
- Demonstrated ability to prioritize multiple tasks to meet deadlines
- Demonstrated ability to interact in a collaborative manner with other ministries and teams
- Strong critical thinking and problem solving skills required
- Professional demeanor and ability to interact and influence at all levels of the Church
- Experience working within a religious organization preferred
- Proficiency in Spanish, both written and oral, is essential for effective communication and engagement with diverse communities.
