Job Title: Accounting Specialist

Division: Accounting / Administration

Status: Full Time, Non-Exempt

Pay: $17.72 - $23.13 per hour (DOQ)

Reports to: Accounting Director

Job Summary:

Under general supervision, the Accounting Specialist will perform general accounting tasks that support all areas of the accounting department, including journal entries, data entry, reconciliations, etc. Assisting with accounts payable, accounts receivable, and general accounting duties. The Accounting Specialist is the primary backup for the front desk/reception area including telephones and administrative duties of the office.

Description:
  • Performs assigned tasks related to accounts receivable for commercial and residential billing. This includes billing customers, posting payments, and collecting delinquent accounts. Duties will also include data entry, printing and mailing of invoices to customers.
  • Performs assigned tasks related to accounts payable such as reviewing the coding, documentation and explanations on invoices for accuracy and completeness. Will also enter invoices into accounting software and will assist with check printing and mailing of checks to vendors.
  • Assist with monthly utility billing (water, sewer & trash), Duties will include entering and posting adjustments and payments into the billing system, as well as printing and mailing invoices to customers.
  • Delivers mail to post office and deposit to the bank as necessary.
  • Prepare monthly reconciliations for assigned accounts. Reconciliations are due 15th of the following month.
  • Prepare journal entries and assures journal entries contain proper explanation and required documentation.
  • Assists with the administration of alcohol license, bike license and residential rental licenses for the Jekyll Island Authority. May also be responsible for monitoring and recording license revenues and taxes in accounting software.
  • Maintain confidentiality of organization, employee, client, and customer information.
  • Maintains accurate and efficient filing system for invoices, payments, and other accounting paperwork.
  • Primary backup support for front desk duties which include assisting customers, answering phones, and providing administrative support for Administration building staff.
  • Maintain consistent, customer-focused attitude when conducting business and provides services to employees, customers, vendors and the general public while adhering to established policies and procedures.
  • Performs other duties as assigned, including assisting with special events such as the Shrimp & Grits Festival.

Qualifications:
  • Associate degree in accounting, Business Administration, or other related degree with a minimum of two (2) years relevant accounting experience (bookkeeping, accounts payable, receivable, reconciliations, etc.) OR
  • High school diploma or equivalent required with minimum four (4) years of relevant accounting experience (bookkeeping, accounts payable, receivable, reconciliations, etc.)
  • Must be proficient in Microsoft Office including Word, Excel and Outlook.
  • Strong oral and written communication skills required.
  • Strong organizational skills and proficient data entry skills required.
  • Must be detailed oriented and able to multi-task in a fast-paced, high-volume environment.
  • Able to understand and follow directions with the ability to work independently.

  • Must be reliable with regular and predictable attendance and punctuality, occasional overtime may be required.
  • Must possess a valid driver's license.
  • Criminal and consumer background check required.

Physical Requirements/Working Conditions:
  • Exert up to 35 pounds of force occasionally and a negligible amount of force constantly to move objects.
  • More than 50% of the typical workday is spent sitting, reaching, grasping and using repetitive motions of the wrists, hands and fingers.
  • Between 25% and 50% of the day is spent walking.
  • Less than 25% of the day is spent climbing stairs, crouching and/or stooping, kneeling, standing, pushing, pulling and lifting.
  • Must have visual clarity to prepare and analyze data and figures, use the computer and expansive reading.
  • Sensory abilities required include vision, feeling and touching with more than 50% of the day spent on talking and hearing.
  • Majority of work will be performed within an indoor office environment. Typically work is not conducted in adverse environmental conditions.
  • Noise level is considered quiet to normal.
