This role will be a hybrid position 3 days in and 2 days work from home and will involve an initial 90 days of 5 days/week on-site during the training period.

Our client is a top Wealth Management Firm that provides comprehensive financial planning, retirement and tax planning, estate planning, risk management, and investment management services. The company manages approximately $5 billion in assets on behalf of clients.

This position supports the firm by implementing and managing the company’s recruiting and new hire onboarding programs. You will report directly to the Director of Human Resources and will have regular interaction with senior executives, internal departments, and external candidates.

Responsibilities:

Recruitment:

  • Interface with firm Management to create and update job descriptions, map out interview processes, and create new hire onboarding plans
  • Interface with headhunters & staffing agencies
  • Administer TrakStar HIRE Program, to include:
  • Ensure positions are entered and posted to online job boards
  • Review resumes and perform virtual screening calls
  • Collaborate with hiring managers on candidate review
  • Monitor application and candidate status
  • Coordinate and schedule on-site interviews
  • Coordinate offers with hiring Manager, HR, and/or Managing Partner
  • Create an offer letter, gain approval from the hiring manager and HR, and send a letter to the candidate
  • Send rejection emails to candidates not selected
  • Interface with candidates offered a position and coordinate questions with appropriate individuals
  • Ensure the employee referral process is followed and documented

New Hire Onboarding:

  • Interface with the hiring Manager, Office Manager, Tech, and Benefits & Payroll Specialist to set up new hire accounts, workstations, and complete paperwork, including:
  • Implementing & monitoring the completion of the New Hire Checklist
  • Host new hire HR Orientation meeting
  • Schedule first-year review meetings
  • Work with the hiring Manager to create an appropriate onboarding schedule and 30 - 60 - 90-day plan
  • Enter position & review criteria into Trakstar Perform
  • Follow new hires through the first 90 days to ensure seamless onboarding & training
  • Check in with the hiring Manager at 30, 60, and 90 days post-hire; sit in on 90-day employee reviews
  • Coordination and follow-up with Internal Ambassadors and new hires through the first 6 months to ensure new hires understand and meet cultural expectations.
  • Collect feedback from both new hires & tenured staff to suggest changes and improvements to the program.

Summer Internship Program

  • Assist with scheduling, interviewing, & hiring decisions (Fall/Winter)
  • Assist with onboarding, orientation, and training (Spring/Summer)

Other Projects and Tasks as requested:

  • Maintain paper and electronic filing systems
  • Staff interface – answer questions & act as an internal resource for recruitment & onboarding questions
  • Annual HR Audit assistance
  • Draft, edit, and proofread policy and correspondence when requested
  • Special projects as requested by HR Manager

REQUIREMENTS

  • Bachelor’s degree (BA) required.
  • 5+ years’ experience in a fast-paced recruiting position.
  • Prior experience in the wealth management or finance industry a plus.
  • Experience with Trakstar/Recruiterbox/Miratech Recruitment systems a plus.
  • Proficiency in Microsoft Suite tools (Outlook, Excel, Word, and PowerPoint).
  • High level of initiative - a self-starter who thrives in a team environment.
  • Excellent oral, written, and interpersonal skills.
