Job Summary: This distinctive role merges the duties of an Executive Assistant with an engaging training program focused on Hotel Rooms Operations and Sales. As the Executive Assistant to the General Manager, you will provide high-level support while obtaining hands-on experience in the resort's essential operational and sales functions. This dual- position aims to furnish you with extensive knowledge of hotel operations and business management. Is this you ? We seek a vibrant and detail-oriented Executive Assistant to thoroughly support the Sales and Resort Operations teams. This role offers the chance to learn and interact with all aspects of resort operations, including Sales, Marketing, Project Management, Front Desk, Housekeeping, and other vital areas necessary to operate a luxury resort. The ideal candidate is a proactive and adaptable individual with outstanding organizational and multitasking abilities who thrives in a high-touch hospitality setting. Responsibilities: 1. General Support: Serve as a liaison between the Sales and Resort Operations teams, ensuring effective communication and coordination. Provide administrative assistance, including calendar management, meeting scheduling, and report or presentation preparation. Manage incoming inquiries and correspondence for the General Manager and Sales Managers. 2. Sales Support: Assist in creating sales proposals, contracts, and client communications. Maintain and update customer relationship management (CRM) databases. Organize and participate in sales-related events, site visits, and client meetings. 3. Resort Operations Support: Gain insight into operational processes for the Front Desk, Housekeeping, and other departments to provide informed assistance. Monitor daily operations, address issues as they arise, and communicate solutions effectively. Collaborate with department managers to ensure operational excellence and guest satisfaction. 4. Project Management: Support special projects across Sales and Operations to enhance efficiency and meet departmental goals. Track project progress, establish deadlines, and ensure timely task completion. 5. Guest and Client Relations: Address guest inquiries and complaints when escalated, ensuring a favorable resolution. Contribute to crafting exceptional guest experiences by understanding and addressing operational needs. 6. Training and Development: Shadow department heads to learn about their responsibilities and operational intricacies. Familiarize yourself with various roles in Operations and be open to assisting in all departments. Collaborate closely with the Sales team to learn how to respond to sales leads and utilize Event and Hotel Property Management systems. Participate in leadership meetings and contribute to strategic planning discussions. Qualifications : Strong organizational abilities with the capacity to multitask and prioritize effectively. Excellent communication and interpersonal skills. Willingness to learn and adapt to diverse roles within resort operations. Ability to work both independently and collaboratively in a team environment. Proficiency in Microsoft Office Suite. Experience in Canva is preferred but not mandatory; learning AI tools and hospitality management software is essential. A high degree of discretion, professionalism, and adaptability. Capability to excel in dynamic, close-knit environments and manage competing project priorities. Previous experience in a hospitality setting is preferred but not required. Local Florida Keys candidates are highly preferred. Required: Valid Driver’s License and reliable transportation. This role will involve occasional off-campus, local errands on behalf of the Resort.
