Role Overview We are seeking a high-performing Executive Assistant to the CEO based in our Lexington, KY office. This is an on-site position supporting the CEO across multiple healthcare and biotech companies. The role requires exceptional organizational skills, sound judgment, and outstanding communication capabilities. You will be a crucial partner in ensuring seamless operations and supporting strategic initiatives across our ventures. A Day in the Life Your typical day might include: ● Managing a dynamic calendar across multiple ventures, including scheduling board meetings, investor calls, and team sessions ● Triaging emails across multiple accounts, drafting responses, and ensuring timely follow- up ● Preparing briefing materials for upcoming meetings and coordinating with various stakeholders ● Managing travel arrangements and logistics for executive meetings ● Organizing and maintaining critical documents and ensuring easy accessibility ● Supporting project tracking and strategic initiatives across multiple companies ● Coordinating with various teams to gather information and prepare reports ● Handling expense reports and administrative tasks proactively Key Responsibilities Calendar & Meeting Management ● Manage the CEO's calendar across multiple ventures, ensuring efficient time management ● Prepare agendas and materials for meetings with executives, boards, and stakeholders ● Coordinate travel arrangements, including occasional trade show attendance (approximately two weeks per year) ● Proactively manage schedule conflicts and priorities Communication Management ● Manage multiple email accounts, ensuring timely responses and appropriate prioritization ● Draft professional communications and presentations ● Serve as a key liaison between executive teams, board members, and external partners ● Maintain confidentiality and exercise discretion in all communications Project & Task Management ● Track deliverables and follow up proactively without reminders ● Organize and prepare strategic planning materials ● Ensure completion of action items across multiple ventures ● Anticipate needs and address them before they become issues Event Coordination ● Organize executive team meetings and board sessions ● Coordinate logistics for two annual trade shows ● Arrange business dinners and team events as needed ● Support planning of strategic planning sessions and corporate events Required Qualities ● Self-starter who takes ownership and follows through without reminders ● Excellent judgment and ability to prioritize effectively ● Strong attention to detail and ability to manage multiple competing priorities ● Professional demeanor and excellent interpersonal skills ● Ability to maintain composure under pressure ● Discretion in handling confidential information Qualifications & Skills ● 8 years of Executive Assistant or other professional experience, with 5 years supporting C-level executives strongly preferred ● Bachelor's degree preferred; biotech or healthcare experience is a plus ● Advanced proficiency in MS Office Suite, Google Workspace, and project management tools ● Exceptional written and verbal communication skills ● Experience managing multiple email accounts and complex calendars ● Demonstrated ability to work independently and anticipate needs Work Environment & Structure ● Full-time, on-site position in Lexington, KY ● Professional office environment ● No direct reports, but extensive interaction with executive team members ● Limited travel required (approximately two weeks per year for trade shows) ● Standard business hours with occasional early morning or evening calls due to time zones Compensation & Benefits ● Competitive base salary commensurate with experience ● Annual performance-based bonus ● Comprehensive benefits package including health insurance, retirement contributions, and generous PTO ● Professional development opportunities Why Join Us? ● Work directly with an entrepreneurial CEO driving innovation in healthcare and biotech ● Be part of a mission-driven team improving lives through cutting-edge solutions ● Gain exposure to diverse business operations and board-level decision-making ● Opportunity to grow alongside rapidly expanding companies ● Collaborative, respectful work environment that values work-life balance while maintaining high standards of excellence Application Process Submit your resume and a brief cover letter detailing your relevant experience and why you're excited about this role.
