Starting Pay: $19.6027 Hourly ($40,774)
After 1st Year: $21.4184 Hourly ($44,550)
After 2nd Year: $24.5841 Hourly ($51,135)
After 3rd Year: $25.2496 Hourly ($52,519)
After 4th Year: $25.8921 Hourly ($53,856)
After 5th Year: $26.5856 Hourly ($55,298)
After 6th Year: $27.3115 Hourly ($56,808)
After 7th Year: $28.0829 Hourly ($58,412)

MINIMUM QUALIFICATIONS:

Sixty (60) semester hours from an accredited college -AND- one (1) year of progressively responsible clerical experience in a Friend of the Court setting;

-OR-

Three (3) years of progressively responsible clerical experience in a Friend of the Court setting.

PHYSICAL REQUIREMENTS:
Must be able to perform Essential Job Duties and Functions with or without reasonable accommodations.

JOB SUMMARY: Performs highly responsible secretarial and accounting tasks, some of which may be confidential in nature; work requires a high degree of judgment, accuracy and good grammatical skills; provides working direction to lower rated clerical employees; performs related duties as required; may be assigned to work in the County Clerk's Office and/or may be deputized to perform Clerk functions.

ESSENTIAL JOB DUTIES AND FUNCTIONS:
  • Utilizes computers, related software and other equipment extensively to complete required tasks.
  • Screens visitors, telephone calls and other inquiries, personally answering those that do not require the department head or appointed individual's attention.
  • Maintains calendar of the department head and other appointed individuals and sets appointments and hearings.
  • Prepares documents upon request or, as appropriate, on own initiative.
  • Designs, implements and monitors office methods and procedures.
  • Prepares and maintains paper and electronic files.
  • Transcribes minutes from meetings in which several speakers participate, using shorthand, speedwriting or a court reporting transcription device, etc.
  • Types letters, memos, agenda, etc. - either transcribed, from handwritten copy or transcription device
  • Types technical reports, legal documents and contracts which may be of a confidential nature- transcribed or from either a handwritten copy or transcription device.
  • Prepares replies to correspondence from brief dictated notes or on own initiative.
  • Establishes and maintains sometimes-complex cross-reference files and establishes file categories.
  • Provides general information about the Friend of the Court and Circuit Court procedures.
  • Reviews court files, Friend of the Court files, State of Michigan systems and prepares recommendations to the department head or appointed individual.
  • Utilizes Pos and software, including work-processing, spreadsheets and databases.
  • Prepares department payroll and maintains payroll and personnel records.
  • Performs accounting functions and prepares statistical and accounting reports.
  • Prepares requisitions, vouchers, budgets and other documents and data compilations.

ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:
  • Ability to understand and follow complex oral and written directions.
  • Ability to prepare reports from varied and complex information sources.
  • Ability to make decisions in accordance with laws, ordinances, regulations and established policies.
  • Ability to take minutes of meetings and retain concept.
  • Ability to operate a computer and associated software.
  • Knowledge of Friend of the Court office terminology, procedures, equipment and software.
  • Comprehensive knowledge of office terminology, procedures and equipment;
  • Knowledge of MS Office Suite.
  • Ability to maintain extensive and complex records and prepare reports from records.
  • Ability to work independently, collaboratively and respectfully in a complex, multicultural work environment that values diversity, equity and inclusion.
  • Ability to establish and maintain good working relationships with staff and public and elected officials.
  • Ability to professionally interact with the public, attorneys, other agencies with whom the court frequently works related to court business, judges, judicial and other administrative staff.
