Reporting to the CEO, the Executive Assistant to the CEO is responsible for providing comprehensive administrative support to the CEO, Board of Directors, and other members of the Executive Leadership Team, as well as managing general office operations as needed. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality

Reporting to the CEO, the Executive Assistant to the CEO is responsible for providing comprehensive administrative support to the CEO, Board of Directors, and other members of the Executive Leadership Team, as well as managing general office operations as needed. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality
What You Will Do
Responsibilities:
- Provide sophisticated calendar management for CEO and Executive Leadership Team. Prioritize needs and requests while troubleshooting conflicts; use sound judgement and make recommendations to ensure smooth day-to-day engagements.
- Serve as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events: schedule meetings; support drafting agendas; develop, compile, and distribute presentation materials; and record meeting minutes on behalf of Board Secretary. Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
- Complete a broad variety of administrative tasks that facilitate the CEO and Executive Leadership Team's ability to effectively lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; taking meeting minutes; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense and mileage reports.
- Serve as "gatekeeper" and "gateway" to the CEO; serve as the bridge and primary point of contact for internal and external constituencies on all matters pertaining to the CEO and Executive Leadership Team, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising leadership and judgement to reflect CEO and Executive Leadership Team's style, organizational needs, and company culture while maintaining trust and credibility with the business.
- Work closely with the CEO and Executive Leadership Team to keep them well informed of upcoming commitments and responsibilities, following up appropriately. Act as a "barometer" by updating the CEO on organizational climate and relevant issues taking place. Anticipate CEO's needs in advance of meetings, conferences, etc.
- Coordinate all Executive Team meetings and retreats and assist with large staff meetings and events as needed.
- Work with the Executive Team to coordinate the CEO's outreach activities. Follow up on contacts made by the CEO to cultivate ongoing relationships.
- Perform other projects/duties as assigned
What You Will Bring
Qualifications:
- 10+ years of administrative support experience, including at the C-Suite level.
- Expert proficiency with Microsoft Office Suite, particularly PowerPoint and Word; ability to design and edit sophisticated graphic presentations and materials.
- Experience managing complex calendars and travel arrangements.
- Expert proficiency with Microsoft Teams and Zoom.
- Polished interpersonal and communication skills (both written and verbal); experience working with diverse groups of people at all levels, including Board members, senior executives, associates and external constituents.
- Exceptional organizational skills with impeccable attention to detail.
- Excellent prioritization and critical thinking skills; ability to plan and react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Thrives in a fast-paced, do-it-yourself, start-up, cross-functional team environment.
- This position will be hybrid, requiring in office presence, approx. 2-3 times a month
