The Opportunity:
The Office of the Provost seeks experienced candidates for an Executive Assistant III. The Executive Assistant III is responsible for a full spectrum of executive administrative and project support, working primarily with the Provost. Additionally, this position may support the administrative needs of administrative leaders within the Office of the Provost and Academic Affairs. The ideal candidate for this role is highly organized, detail-oriented, and a strong analytical thinker.
Responsibilities:
- Proactively administers the Provost and Executive Vice President for Academic Affairs, complex calendar, commitments, travel, expenditures and prepares spend authorizations and expense reports. May represent these individuals as backup when primary contact is unavailable.
- May conduct research, evaluation, and analysis, as needed.
- Plan and manage administrative assignments related to on-going projects across the Academic Affairs executive team. Organize and coordinate delivered projects and materials for Provost review when received.
- Organize and maintain sensitive and confidential information. A high level of integrity and discretion is key for this role.
- Liaise with others across campus, as appropriate, to accomplish objectives.
- Respond to emails and inquiries at the discretion of the Provost and Executive Vice President for Academic Affairs when applicable.
- Prepare communications, reports, meeting agendas, and minutes.
- Capture key information and action steps from meetings.
- Complete or support relevant follow-up or tracking of action steps.
- Other duties as assigned.
Bachelor's or Master's degree and 6+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information
Preferred Qualifications:
- 6+ years of experience as an executive assistant, administrative assistant, or similar role supporting senior leadership or executives.
- Familiarity with managing complex calendars, travel arrangements, and correspondence for executives.
- Experience serving as primary point of contact for executives, screening and prioritizing communications.
- Experience handling confidential information with discretion and professionalism.
- Experience working in higher education is a plus.
- Demonstrated ability to anticipate the needs of executives and act proactively, sometimes with little to no supervision.
- Strong written and verbal communication skills, with the ability to draft professional correspondence, reports, and presentations.
- Excellent interpersonal skills, able to engage with executives, clients, and colleagues at all levels of the organization.
- Ability to adapt to changing priorities and a dynamic work environment.
