Job Description
JOB SUMMARY:
To ensure accurate accounting records for receipts and/or disbursements within the company. This is a responsible nonsupervisory position. Duties include performing a variety of complex clerical and entry-level bookkeeping and accounting tasks, applying accepted procedures to the preparation and maintenance of accounting and other records, and preparing financial, statistical, and/or technical reports.
Reports to CFO.
ESSENTIAL FUNCTIONS:
1 Receives and/or distributes funds related to the assigned area of responsibility.
2. Posts journal, ledger, or voucher books of accounts from supporting data by hand or machine.
3. Balances individual account books by running adding machine tapes and proofing postage as necessary.
4. Verifies computer printouts reflecting status of accounts.
5. Issues checks from departmental accounts.
6. Reconciles bank statements.
7. Prepares and mails bills or statements or prepares lists of outstanding bills payable.
ADDITIONAL RESPONSIBILITIES:
1. May prepare summary sheets or other work papers for supervisor's or auditor's use in preparing comprehensive financial statements.
2. May prepare payrolls, verify resulting printouts, and prepare related payroll reports.
3. May audit and proof accounting or other reports for clerical accuracy and conformance to departmental, county, and state procedures.
4. May maintain the cost system, allocating expenditures to accounts in accordance with established procedures.
5. May assist with or prepare trial balances.
6. May perform secretarial functions as needed for assigned staff member(s).
7. Performs such other duties as may be assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
1. Working knowledge of bookkeeping theories and practices and accepted office procedures.
2. Ability to perform a volume of numerical detail work with speed and accuracy, to make difficult mathematical computations with and without mechanical assistance (ability to operate a calculator by touch).
3. Ability to understand and follow complex oral and written instructions and technical or legal terminology.
4. Ability to prepare financial and other records in a systematic, neat, legible manner.
5. Ability to establish and maintain effective working relationships with co-workers, a variety of customers, and vendors.
6. May require the ability to type at a speed of at least 40 words per minute with a high degree of accuracy.
TRAINING AND EXPERIENCE:
1. High school graduation or its equivalent, including courses in bookkeeping.
2. At least two years' experience in bookkeeping, accounting, or secretarial assignments involving advanced recordkeeping (directly related business school or college courses may be substituted equally for up to one year's experience); OR
3. Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.
