Job Title: Administrative Support Specialist
Pay Rate: $20/hour
Schedule: Temporary through April, Monday to Friday, 8:00 AM - 4:30 PM

Key Responsibilities
Agency Administration
• Provide assistance and backup support to agents and/or the Manager as needed.
• Maintain daily deposit backups.
• Oversee inventory and petty cash, ensuring proper reconciliation.
• Support office appearance by ensuring a clean and professional environment, including keeping coffee and water available for clients.

Office Support
• Offer administrative support for claims-related matters as appropriate.
• Handle corporate and inter-agency requests promptly, such as filing motions, exonerations, pulling minute orders, and filing trust deeds.
• Manage bond-related inquiries by capturing essential information (e.g., caller's name, defendant's name, phone number) and transferring them to an agent.
• Ensure no lead calls are ended without agent follow-up.
• Scan defendant court documents into the system and file them accurately.
• Provide backup support for busy agents, including tasks such as defendant check-ins, court updates, payments, and gathering bail information.
• Manage mail and packages (e.g., sending, receiving, sorting, and distributing).
• Maintain office supplies and bail forms inventory, placing orders as necessary.
Customer Service
• Deliver prompt, professional, and empathetic customer service to the public.
• Address client needs with urgency and efficiency, including check-ins, court updates, payments, reinstatements, and other daily client issues.
