Job Description
We are looking for seasonal administrative help during tax season, starting mid-February through the April 15th deadline. The ideal candidate will be available to work Full-Time during this time frame, including rotating Saturday mornings. Our typical office hours during this time are Monday - Thursday 8:00 AM to 6:00 PM, Friday 8:00 AM to 5:00 PM and Saturday 8:00 AM to noon. The Administrative Assistant facilitates the efficient operation of the organization by performing a variety of clerical and administrative tasks critical to our ability to exceed client expectations.
A successful Administrative Assistant enjoys interacting with clients in person, on the phone, and via e-mail. Comfort with answering phones and directing calls is required. No income tax or accounting experience is necessary.
Responsibilities
- Creates, proofs, edits, and corrects documents and letters, ensuring timeliness.
- Answers phones through centralized calling system.
- Produces high quality work in compliance with firm guidelines, including organizing and scanning client paperwork, tax return assembly, etc.
- Develops and demonstrates a general knowledge of the firm's services.
- Prioritizes deadlines as necessary.
- Follows-up proactively with client questions and communicates with clients.
- Provides administrative support to the organization to ensure deadlines are met.
- Assists other administrative staff with overflow work.
- Manages incoming/outgoing mail and other shipping needs.
- Maintains a positive, collaborative work environment.
- Other duties as assigned.
Requirements - The ideal candidate will have the following:
- Excellent oral and written communication skills.
- A desire to provide excellent client service via phone calls, written e-mails, and in-person interaction with our clients.
- Strong analytical and problem solving skills.
- Ability to be comfortable within a fast-paced and often-changing environment
- Proficiency with or ability to learn current Microsoft Office Products (Outlook, Word, Excel, Teams)
- Acts with integrity, professionalism, and confidentiality.
- Works as a team player and participate and assist in projects.
- Available to work during office hours.
