The Opportunity:
We are looking for a
driven and results-oriented Events Marketing Coordinator
to join our team. If you thrive on organizing information, streamlining processes, and tackling logistical challenges, this role is perfect for you. You love creating order from chaos and are constantly seeking ways to be more efficient.
As part of a fast-paced marketing team, you'll play a pivotal role in managing over 45 events annually, using tools like Google Docs and Asana to keep information organized and up to date. You'll also be responsible for packing for events, creating and tracking inventory lists, and managing logistics. Reporting to the Events Marketing Manager, you'll directly contribute to the success of our events program by coordinating and executing Trade Shows, Webinars, and Live Events to generate leads, promote our brand, and drive conversions.
This is a hands-on role where you'll work closely with cross-functional teams in sales and marketing, ensuring smooth execution of all event-related activities.
What You Will Do
Event Planning and Execution:
Collaborate with Sales and Marketing teams to develop quarterly event schedules, including Webinars, Industry Trade Shows, Company Events, and more. Coordinate logistics for events, including booking services, ordering materials, packing and shipping supplies, registering attendees, and ensuring internal teams are fully informed of event details. Manage vendor relationships to ensure timely, cost-effective delivery of services such as displays, printed materials, meeting spaces, food and beverage, and sponsorships. Webinars and Virtual Events:
Set up, manage, and oversee live webinars using platforms like Zoom and HubSpot. Coordinate webinar registration, manage technical aspects, and ensure seamless execution for a successful live event experience. Monitor live webinars in real-time to troubleshoot technical issues, manage attendee engagement, and ensure a polished delivery. Lead Conversion and Strategy Support:
Support the development, planning, and execution of overall marketing strategies to improve lead generation and follow-up post-events. Build ROI models and identify opportunities for increasing engagement and conversions. Customer and Product Expertise:
Develop a deep understanding of our customers, our products, and the buyer's journey to tailor event strategies accordingly. Logistics and Onsite Support:
Pack, ship, and track event materials and maintain accurate inventory lists. Travel to events (up to 20%), providing onsite setup, support, and breakdown as needed. Cross-Functional Collaboration:
Assist the marketing team with project-specific tasks and ensure alignment across sales, marketing, and other departments to drive event success. What You Will Bring:
2-3 years in trade show/events coordination. Bachelor's degree is required. Experience planning, coordinating, and executing marketing programs or events. Knowledge of orthodontics, dental, or health tech industries is a plus. Strong communication and collaboration skills; comfortable working closely with sales, marketing, and cross-functional teams. Excellent project management abilities to organize, prioritize, and manage multiple tasks with great attention to detail. Familiarity with tools like Google Suite, Eventbrite, Asana, and HubSpot. Adaptable, fast learner with a growth mindset and drive for continuous improvement. Positive, team-oriented attitude with a spirit of cooperation and a "can-do" approach.
