01/14/2025 Greenland Central School is seeking an Assistant Secretary. We are looking for an individual that does well in a fast paced environment who works well with others (staff and students) and learns quickly.

This position is for 210 days yearly.

JOB SUMMARY:
-To assist the Building Principal, The Special Education Coordinator, and School Counselor in the smooth operation of the school office and to maintain effective interactions with staff, students, parents, and school visitors.

QUALIFICATIONS:
-High School Diploma, Associate's Degree in Secretarial Science or related field preferred.

REPORTS TO:
-Building Principal and Special Education Coordinator

RESPONSIBILITIES:
Administrative Support
-Provide administrative support to the Principal, Special Education Coordinator, or School Counselor by managing their calendar, scheduling appointments, arranging meetings, and maintaining records and files.
-Assist in compiling information for preparation of the budget.

Communication
-Be the liaison between the principal, staff, parents, students, and external stakeholders.
-Answer phone calls, emails, and other correspondence on behalf of the principal.
-Receive and review incoming correspondence, reports, materials and communications and route to appropriate personnel.
-Respond to inquiries from a wide variety of internal and external parties for the purpose of providing information, facilitating communication among departments and/or providing direction.

Documentation
-Maintain a variety of computerized and manual records, files, and department information for the purpose of providing information and complying with District, state, and federal requirements.
-Assist the Principal, Special Education Coordinator, or School Counselor with the preparation of a wide variety of reports and written materials (agendas, minutes, newsletters, handbooks, annual reports, etc.)
-Process documentation and materials (mail, supplies, registrations, etc.) for the purpose of disseminating information to appropriate parties for action.
-Maintain complete and accurate records as required by law and the Principal, Special Education Coordinator, or School Counselor.
-Assist with processing documentation and materials for the purpose of disseminating information to appropriate parties for action.

Meeting Coordination
-Organize meetings and events including securing venues, sending invitations, preparing agendas, taking minutes, and ensuring necessary resources are available.
-Follow up on action items and communicate decisions made during meetings.

Record Keeping
-Maintain and update various records and databases, including student records, attendance records, and staff records.
-Ensure all information is accurate, confidential, and easily accessible when needed.
-Compile data from a variety of sources to comply with financial, legal and/or Administrative requirements.

School Operations
-Greet incoming visitors and ensure they properly sign in/out as required.
-Coordinate school activities.
-Supervise students in classrooms and out-of-classroom activities as assigned.
-Assist in emergency situations what would require evacuation or securing the building and other emergency procedures.
-Maintain inventory of supplies and materials for the purpose of ensuring items' availability.
-Organize time, space, materials, and equipment.
-Schedule various activities (meetings, testing arrangements, assemblies, special programs, etc.) for the purpose of assisting in meeting staff needs and efficiently utilizing personnel, equipment, and facilities.
-Monitor assigned department/program activities for the purpose of ensuring completion in compliance with established financial, legal and/or Administrative requirements.
-Maintain office equipment, tools, and work areas for the purpose of ensuring a safe working environment and the availability of items within a specific time frame.

Parent and Student Support
-Provide information and assistance to parents and students.
