Position Overview

SCOPE OF ROLE: The Administrative Assistant will be the first point of contact for program applicants. In addition to clerical duties, you will be called upon to engage and assist with program participants/individuals we serve, complete pre-screenings and assessments, and manage communication with applicants, program participants, and stakeholders. II. ESSENTIAL DUTIES & RESPONSIBILITIES:

  1. Perform general clerical duties including but not limited to photocopying, faxing, mailing, filing, and arranging for deliveries.
  2. Exercise discretion in handling sensitive information as required by HIPAA and Agency guidelines.
  3. Handle all internal and external communications using phone, email, and written correspondence.
  4. Manage high volume phone systems with multiple lines and return calls/messages/emails promptly and consistently.
  5. Coordinate with internal and external stakeholders including staff, clients, visitors, and vendors.
  6. Arrange, schedule, and coordinate office calendar.
  7. Prepare and edit communications, presentations, and other documents.
  8. Database management including data entry into Excel and Electronic Health Records (EHR) systems.
  9. File and retrieve documents and reference materials.
  10. Provide timely, accurate, and clear documentation according to established policies and procedures.
  11. Respond effectively to challenges, deadlines, and emergencies.
  12. Respond to consumer needs promptly, accurately, and with courtesy and respect.
  13. Represent the organization positively and appropriately to outside resources.
  14. Support the mission and values of S:US and draw attention to behavior that undermines group effectiveness or is inconsistent with core values.
  15. Perform additional duties as assigned.

III. REQUIREMENTS:

REQUIRED EDUCATION AND EXPERIENCE

  1. HSD or equivalent required.
  2. A minimum of one year experience in an administrative setting.
  3. Some knowledge/experience working in the social service or related field is preferred.
  4. Computer literate in Microsoft suite, skill sets in Word, Excel, and Outlook.
  5. Ability to work in a fast-paced environment.
  6. Understanding, appreciation, and commitment to the philosophy and mission of Services for the UnderServed (S:US).

PREFERRED QUALIFICATIONS AND SKILLS

  1. College or continuing education preferred.
  2. Bilingual English/Spanish speaking preferred.
