Working independently and exercising good judgment and discretion, the Administrative Assistant is responsible for providing administrative support to the Executive Director and Director(s). ESSENTIAL FUNCTIONS AND RESPONSIBILITIES Job duties include, but are not limited to - Team Operations: Support and maintain accurate and organized records, including student data and other relevant data. Track and maintain student member profiles that include various detailed attendance reports, time-off requests, academic excused forms and other important intake forms. Provide support in the creation and maintenance of departmental databases and spreadsheets. Maintain office calendar and schedule meetings for Executive Director. Communication and Clerical: Oversight and management of the department email inbox, direct communications efficiently, respond to inquiries and forward relevant information to appropriate team members. Assist in managing intake forms for various team needs and forward relevant information to the appropriate team members. Draft and edit internal and external department communications, including guest and travel itineraries, paying close attention to detail with a commitment to creativity and clarity. Reconciliation and Purchasing: Create requisition carts in BuyLU to be assigned to the Director of Operations for purchase orders. Create and track Infor expense reports to be reviewed and approved by the Director of Operations. Events and Special Projects: Schedule and assist in planning training week activities and other various team events throughout the year. Provide organizational and operational support throughout travel and tour season. Provide organizational and operational support throughout audition process. Department Development and Meetings: Provide support and help oversee student workers tasks and weekly schedules. Actively participate in weekly staff meetings as it pertains to the ministry of the LWC and provide detailed notes and administrative updates. Actively participate in bi-weekly team gatherings with LWC students and staff. Office Management: Greet and welcome students, guests and staff. Serve as the first impression to visitors. Answer LWC direct phone line and provide information to callers with poise and cheer. Sign for packages and manage deliveries, ensuring that all items are properly received and distributed to the appropriate team members. Strictly adheres to Liberty University policies, representing the University in an exemplary manner. Works effectively as a team member, embracing and fostering LU's Christian model and Mission - Training Champions for Christ. SUPERVISORY RESPONSIBILITIES This position is responsible for supervising 6 student work assistants. QUALIFICATIONS AND CREDENTIALS Education and Experience Four-year college degree or equivalent market experience is preferred. Strong organizational abilities and well-developed communication skills required. 3-4 years experience in an administrative role is preferred. ABILITIES AND COMPETENCIES ESSENTIAL TO THE FUNCTION OF THE JOB Communication and Comprehension Ability to effectively communicate both verbally and in writing to convey clear, well articulated information. Ability to understand, speak, and write English in order to convey messages and correspond in an articulate and professional manner. Possess public communication skills that allow professional representation of Liberty University. Strong organizational skills. Excellent computer skills with 3-5 experience in Microsoft Excel, Teams and Outlook, Planning Center (preferred). Problem Solving Intuitively able to reason, analyze information and events, and apply judgment in order to solve problems of both a routine and complex nature. Physical and Sensory Abilities Occasionally required to travel to local and campus locations. Frequently required to sit to perform deskwork or type on a keyboard. Regularly required to hear and speak in order to effectively communicate orally. Regularly required to stand, walk, and climb stairs to move about the campus. Handle materials, reach overhead, kneel or stoop in order to conduct business. Regularly lift 10 or fewer pounds. WORKING CONDITIONS Work Environment The working environment in which one will typically perform the essential functions of this position is a climate-controlled setting. It is well lighted, and the noise level is moderate. Working environment may include facilitation of events outdoors occasionally. Driving Requirements Use of one's personal vehicle (or LU vehicles) may be required for travel in the performance of the essential functions of this position. Proof of a valid Virginia driver's license, an acceptable DMV record, and liability insurance is required.
