Minimum Qualifications

Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications
  • Minimum of 3 years of event planning, non-profit, or other related experience, preferably in higher education.
  • Experience working with various technologies including advanced knowledge and experience with Microsoft Office Suite, database and project management software, and CRM systems.
  • Experience with UGA's donor and alumni database system (GAIL-Giving and Alumni Information Link), Touchnet, and ASANA.
  • Understanding of multiple communications mediums and event management best practices.
Position Summary

This position will be an integral part of the team within the Office of Development and Alumni Relations (ODAR) in the College of Agricultural and Environmental Sciences (CAES) and reports to the Director of Development Communications and Donor Relations. The position is directly responsible for the coordination and management of the College of Agricultural and Environmental Sciences (CAES) signature events and meetings. This position is housed in the CAES Office of Development and Alumni Relations and works in close partnership with the CAES Office of the Dean and Director, the CAES Associate Deans, and Office Marketing and Communications (OMC) to carry out the College's land grant mission. The College has over 3,000 regular employees, located among three main campuses, 11 research and education centers and farms, five 4-H camps, and 159 counties.

Duties/Responsibilities

CAES Signature Event and Meeting Coordination and Management
  • Lead consistent event project meetings with internal stakeholders to ensure communication and expectations are being met along the event timeline.
  • Utilize event management programs (GAIL, Touchnet) to build event communications in coordination with CAES OMC and ODAR staff.
  • Utilize ASANA and other project management tools to assign steps to internal communication roles, track project progress and provide updates to senior leadership.
  • Prepare Signature Event estimates and budgets up to a year in advance in coordination with the Office of Development and Alumni Relations Sponsorship package.
  • Coordinate with ODAR on sponsorship recognition and benefits; and utilize the alumni/donor database (GAIL) as needed.
  • Develop event plan/run of show, including event approvals and briefings for CAES Signature Events to include Ag Dawg Kickoff, Ag Forecast, D.W. Brooks Lecture and Awards, Flavor of Georgia, and the UGA CAES Alumni Association Awards.
  • Manage event-related tasks including scheduling, event logistics, billing, registration, food/beverage, meeting materials, guest lists, and invitations.
  • Serve as primary event contact person with invitees, vendors, staff, etc.
  • Compile budget and contract details for events.
  • Review vendor and procurement contracts as related to events and meetings (e.g., entertainment, facilities, partnerships, suppliers, etc.) MOUs, etc.
  • Prepare event briefings and coordinate speakers/presenters' travel and logistics.
  • Coordinate and communicate with staff contacts for student volunteers from CAES Ambassadors and CAES Student Philanthropy Council.

Strategic Planning
  • Maintain event metrics such as event attendance, reach of communication and success stories to be used in event evaluation, sponsorship solicitations and stewardship.
  • Collaborate with internal stakeholders to utilize data and make data-informed decisions and recommendations to improve event attendance, engagement, and planning efficiency year over year.
  • Collaborate with internal and external stakeholders to develop and manage budgets for advertising and promotional expenses related to signature events, ensuring alignment with overall event goals.
  • Coordinate closely with the CAES Social Media Strategists to communicate budget allocations and facilitate the planning and execution of effective advertising strategies.
  • Seek out innovative and creative ways for facilitating events to be most engaging and impactful.
  • Advise and implement strategic initiatives to streamline and improve CAES signature events and meetings.
Percentage of time 15 Duties/Responsibilities

Other Duties
  • Plan and organize CAES faculty and staff events including the faculty and staff appreciation event and select college events such as the Sunbelt Ag Expo and Research Awards.
  • Partner with the annual giving and major gifts fundraising teams to ensure donor engagement at Signature Events.
  • Work collaboratively with a wide variety of constituents, including alumni, donors/friends, parents/guardians, students, faculty, and staff.
  • Manage a travel and operations budget and plan travel strategically.
  • Attend CAES ODAR team meetings, select CAES leadership meetings, and selected trainings. Work collaboratively with CAES faculty and staff of academic departments and programs as needed to benefit CAES.
  • Perform additional duties as assigned for alumni and development events and other special events which may fall on nights and weekends.
