Position Summary:

Join our dynamic Event Team as an Event Management Coordinator, where you will play a vital role in the successful execution of over 40 tradeshows and sponsorship programs annually. This position involves assisting in the logistical planning of a variety of events, including vendor shows and meetings, ensuring everything runs smoothly. Your Responsibilities:

  • Collaborate with the sales team to finalize event details and coordinate seamlessly with event organizers.
  • Manage the shipping logistics of product and event materials to and from each show.
  • Maintain an updated events calendar for the year and efficiently fill out event registration forms.
  • Develop and foster strong working relationships with the sales team and external event partners.
  • Utilize Aventri to set up event registration sites and SalesForce for event validation.
  • Leverage event scheduling apps such as TeamUp and Attendify to enhance event organization.
  • Proactively anticipate and plan for various event scenarios and challenges.
  • Understand and address the diverse needs of different events and vendors.
  • Plan critical event components, including sponsorship vendors, show logistics, budget management, and forecasting.
  • Contribute to the planning and execution of our annual National Sales Meeting.
  • Ensure timely submission of invoices and event applications, along with creating detailed reports.

What We Seek in a Candidate:

  • A Bachelor’s Degree.
  • 0-2 years of experience in Event Planning or a related field.
  • Exceptional written and verbal communication skills, coupled with strong organizational abilities.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
  • Able to thrive in a fast-paced environment and manage multiple tasks effectively.
  • Strong follow-up skills and a sense of urgency.
  • Excellent time management capabilities and prioritization skills.
  • Willingness to travel up to 20% as required.

  • Role may require close vision, color distinction, and focus adjustment.
  • Regularly required to sit, utilize hands for tasks, and communicate verbally, with occasional needs to stand, walk, and reach.
