$93,100 - $122,500

Responsibilities:
Office and Facilities Management
- Oversee the day-to-day operations and maintenance of the headquarters office, ensuring a clean, organized, and professional work environment.
- Lead office administrators at headquarters and regional offices. Conduct regular check-ins with regional administrators, addressing challenges and supporting efficiency improvements.
- Ensuring consistency in administrative processes and facility management practices.
- Coordinate facility improvements or maintenance for regional offices and assist with resource planning for regional operations.
- Manage vendor relationships for office supplies, building maintenance, security, cleaning, and other facility-related services.
- Conduct regular inspections to identify maintenance needs and coordinate timely repairs or improvements.
- Develop and maintain office policies, procedures, and workflows to support team and business needs.
- Partner with leadership on space planning initiatives, such as seating arrangements, office moves, and expansion projects, ensuring optimal use of office space.
- Lead workplace safety program; Ensure compliance with building codes, safety regulations, and environmental standards, and maintain emergency preparedness plans and safety protocols.
Administrative Team Leadership
- Lead and mentor a team of executive assistants, administrative assistants, and office administrators, fostering professional growth and collaboration.
- Establish best practices for administrative workflows, communication, and scheduling to support executives, senior leaders, and teams company-wide.
- Act as a resource for complex administrative requests, providing creative solutions to enhance team productivity.
Strategic Planning and Coordination
- Align office and administrative support practices with organizational goals by partnering with leadership on strategic initiatives.
- Manage budgets related to office supplies, facilities, and administrative needs, identifying cost-saving opportunities where possible.
- Lead or contribute to special projects, such as company events, office remodels, office openings, or technology upgrades.
- Oversee and support office events such as employee happy hours, catered lunches, and investor events.
Communication and Collaboration
- Serve as a central point of contact for administrative updates, resources, and company-wide communication.
- Foster alignment across the administrative team to provide cohesive and efficient support for all departments.
- Build and maintain strong relationships with employees and vendors to address operational needs and improve overall efficiency.
Requirements
Education:
- Bachelor's degree in preferred.
- High School Diploma or GED
Experience:
- 5+ years of progressive experience in office management, facilities management, and/or administrative support leadership roles.
- 3+ years in a supervisory or managerial capacity overseeing teams of administrative and/or office support staff.
Skills/Abilities:
- Ability to travel to regional offices - 10% travel
- Proven ability to manage office operations and facilities across multiple locations.
- Strong leadership skills with experience mentoring and managing administrative teams.
- Excellent project management skills, including budgeting and vendor relationship management.
- Knowledge of health, safety, and compliance regulations for facilities.
- Strong problem-solving and decision-making abilities, particularly in a fast-paced environment.
- Exceptional communication and interpersonal skills to foster collaboration and alignment.
- Proficiency with office management and communication tools (e.g., Microsoft Office Suite, Teams, or similar platforms).
