Santa Barbara Catholic Parish located in Hialeah (Dade County), Florida, has an opening for a full-time Administrative Assistant. The Administrative Assistant provides office services and clerical support. They may be assigned special parish projects and miscellaneous responsibilities for functions, events, and activities. The Administrative Assistant provides information by answering phone calls, e-mails, and other forms of correspondence and responds efficiently to requests. The Administrative Assistant performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Schedule: Monday- Friday, 9 a.m.- 5:30 p.m.
Primary Responsibilities:
- Provides exemplary customer service to visitors, parishioners, employees, and others who contact the parish by phone, in person, and by e-mail.
- Answering phones, filtering calls, taking messages and offering help in any way.
- Assisting in preparation for the weekly bulletin.
- Scheduling masses, baptisms, weddings, and funerals.
- Facilitating the schedules for Mass Intentions; offering date and time and inputting the information in the book.
- Assisting with the count of Sunday offertory and recording weekly offertory receipts.
- Providing support to the Coordinator of Religious Education and catechetical program.
- Other duties as assigned.
Qualifications:
- Minimum: High school diploma or equivalent required.
- Good oral and written English and Spanish language communication skills, including clear speaking voice.
- Ability to maintain confidentiality concerning files and sensitive information.
- Must demonstrate a positive, welcoming and service-oriented disposition.
- Proficiency in Word, Excel, and PowerPoint.
- Excellent customer service skills, including ability to maintain focus and professionalism with people in challenging situations, both in person and by phone.
- Good time management, including ability to manage several projects at the same time.
- Must be able to multi-task and retain accuracy in an environment of competing deadlines.
- Must be supportive of the mission and tenets of the Roman Catholic School.
