Associated Student Body (ASB) Secretary

DEFINITION OF POSITION: ASB Secretary for Athletics and Activities

REQUIRED QUALIFICATIONS:

  • Minimum of two years of post-secondary education or three years of experience or training in accounting and bookkeeping
  • Proficiency using office equipment and computer applications including basic and financial software systems

PREFERRED QUALIFICATIONS:

  • Experience working with students, families and staff
  • Training and/or experience managing ASB finances
  • Experience working with Skyward software related to financial processes and grade qualification reports
  • Knowledge of school operations
  • Knowledge of database, spreadsheet, publishing and graphics software
  • Knowledge of FERPA laws and procedures

SPECIFIC JOB-RELATED ACTIVITIES:

  • Prepare, update, distribute and communicate annual processes for student athletic and activity enrollment and participation
  • Receive and handle all payments from students and families
  • Manage fees and fines, and clear payments/returns in student accounts
  • Prepare and deliver bank deposits according to state ASB mandates
  • Serve as the primary ASB financial officer by providing accounting services and direction for all ASB fundraising activities
  • Manage purchase orders, bank cards and accounts payable
  • Manage annual archiving of required ASB and financial records to include security, retention and disposal
  • Prepare and reconcile all ticket gates for home events
  • Maintain, update and communicate event schedules/club information via emails, website postings and social media
  • Coordinate with boosters to process grant payments and purchases
  • Manage all student athlete and club eligibility and participation records
  • Manage annual photography events, post photos to Skyward, and distribute ASB cards, photos and staff ID badges
  • Provide support for athletic and club award events by ordering and preparing awards and compiling lists of students
  • Support advisors and coaches
  • Provide backup support for other office positions
  • Possess cultural awareness and sensitivity
  • Organize and prioritize work while being flexible in regards to job duties and responsibilities
  • Regularly demonstrate professionalism in appearance, actions, decisions and overall performance
  • Work positively with a wide variety of people both inside and outside of the organization
  • Work with colleagues and teams in a collaborative manner
  • Meet deadlines and multiple demands in pressure situations while maintaining high levels of quality work
  • Maintain confidentiality
  • Deal with the public, other agencies and district employees in a positive and productive manner
  • Communicate clearly, both orally and in writing
  • Work with minimal supervision and be flexible
  • Perform other related duties as assigned by the high school administration

TERMS OF CONTRACT:

  • Salary: Building Secretary: $25.71 - $30.70 per hour
  • Length of Contract: 8 hours/day, 232 days per year
  • Benefits/Leaves: Medical, dental, vision, life and long-term disability coverage is provided through SEBB (School Employee Benefits Board) for employees who work at least 630 hours per academic year. Retirement benefits are provided through the Washington State Department of Retirement Systems (DRS). Additional benefits may include sick/emergency leave and personal leave as per the collective bargaining agreement between the Pullman Building Secretaries and the Pullman School District.
