Key Responsibilities:

  1. Office Management:
    1. Manage office supplies, equipment, and facilities to ensure a well-maintained and organized work environment.
    2. Coordinate office logistics, including scheduling meetings, booking conference rooms, and handling incoming and outgoing mail.
  2. Administrative Support:
    1. Provide comprehensive administrative support to executives and team members, including calendar management, travel arrangements, and expense reporting.
    2. Prepare and edit documents, reports, and presentations with a high level of accuracy and attention to detail.
  3. Communication:
    1. Act as a liaison between internal departments and external parties, handling phone calls, emails, and other forms of communication professionally and efficiently.
    2. Draft and proofread correspondence, ensuring clarity, grammar, and consistency.
  4. Data Entry and Record Keeping:
    1. Maintain and update databases, records, and filing systems to ensure accurate and easily accessible information.
    2. Assist in the preparation of reports and documentation as needed.
  5. Meeting Support:
    1. Schedule and coordinate meetings, conferences, and events, ensuring all logistics are in place.
    2. Record meeting minutes and distribute them to relevant stakeholders.

Qualifications:

  1. Proven experience as an Administrative Assistant or in a similar role.
  2. Strong organizational and multitasking skills with the ability to prioritize tasks.
  3. Excellent written and verbal communication skills.
  4. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  5. Attention to detail and problem-solving abilities.

Education and Experience:

  1. High school diploma; additional qualifications in Office Administration or related field are a plus.
  2. Previous experience in an administrative role is preferred.
