POSITION SUMMARY

The Human Resources Generalist provides general HR support to the HR Team, including, but not limited to accurate data entry, daily HRIS data management, leave of absence administration, reporting & HR metrics tracking, recruiting, onboarding, and compliance. Performs multiple tasks and adapts to changing priorities across business units. Executes a high level of organization, attention to detail and accuracy with a confidential work approach. Assist the HR Department with HR best practices to meet Company objectives. Establishes partnerships within the department and across functions to deliver value-added service to employees and leaders.

ESSENTIAL RESPONSIBILITIES

Administration: 35%

  1. Process leaves of absence in conjunction with outsourced administrator, including: work with outsourced administrator, assist with application process, answer employee questions, track leave time, send notices, coordinate return-to-work process, collect benefit premiums, changing employee status
  2. Responsible for completing the on-boarding and off-boarding processes including but not limited to; I-9s, E-Verify, new hire paperwork, separations
  3. Ensure the confidentiality and integrity of employee record information; track data and enter employee change transactions; ensure information is complete and accurate within the Human Resources Information System
  4. Process employee life cycle data including pre-employment and post-employment, as needed
  5. Manage employee health cases during a declared pandemic, including tracking and reporting of pandemic hours to payroll department and reported to the payroll department timely
  6. Manage electronic and hard copy files and records on a day-to-day basis per the policy of the Company to maintain systems; assure compliance with Federal, State and local employment laws
  7. Perform audits on an ongoing basis to ensure integrity and accuracy of employee records

Compliance: 10%

  1. Ensures compliance with Act as the Assistant Designated Employer Representative (DER) in managing and maintaining random drug and alcohol screening pools of employees
  2. Provide monthly employee random pool list to drug alcohol testing vendor
  3. Communicates drug and alcohol testing results to employees in accordance with company policy and government regulations
  4. Coordinate and/or execute all pre-employment compliance procedures for new hires, post offer letters including: drug screens, background checks, and physical tests
  5. Manage and support the maintenance process for DOT compliance and oversee audit schedule
  6. Collect and securely store all required medical and drug testing documentation in compliance with Federal, State and local regulations
  7. Coordinate with Chief Medical Consultant (CMC) regarding pre-employment operations; establish and maintain best practices; monitor medical and drug screen compliance and failure standards, etc.
  8. Maintain compliance with all state and federal employment laws and regulations: FMLA, ADA, EEO and FLSA, etc.
  9. Coordinate various Federal and State compliance mandates
  10. Oversee WOTC reporting, communication, and responses
  11. Manage pre-employment vendor relations and billing/invoices: ensure accurate billing and coding of invoices for payment
  12. Research and set up alternate vendors for POET/physical tests, drug screenings, and other applicable pre-employment screenings for non-DOT lines of business; establish and maintain communication with vendors: address errors or concerns in any service or process

Talent Acquisition: 35%

  1. Manage an efficient and effective full cycle recruiting process including consulting with hiring managers on position needs, creating recruiting strategies, effective job postings, conducting phone screens, scheduling interviews, making job offers
  2. Develop and implement strategic hiring best practices to align with Strategic Initiatives
  3. Maintain a focus on quality hires through an effective interview process prior to presenting to hiring managers
  4. Build relationships with industry related schools and relevant organizations to attract and hire talent for all levels of the organization
  5. Create and execute social media strategies that build a robust candidate pipeline
  6. Develop innovative and efficient sourcing strategies for hiring quality candidates
  7. Ability to interact and communicate well with individuals at all levels of the organization and across cultures, including the ability to handle difficult conversations
  8. Ability to keep up to date on trends and innovative recruiting techniques to attract and compete for top talent in the market
  9. Develop and maintain effective relationships, maintain communication with managers to ensure successful recruitment and to promote employee retention through exemplary customer service
  10. Strive for continuous improvement on key performance metrics and service level agreements; create and maintain weekly metrics reporting
  11. Manage relationships with outside recruiting partners and vendors such as colleges/universities, employment agencies, external recruiters, etc.; attend networking events throughout the year

Onboarding/Training: 15%

  1. Coordinate and conduct new employee orientation
  2. Create and facilitate HR training as appropriate
  3. Facilitate improvements to onboarding program to include scheduled check-ins with new hires, coordinating new hire activities with hiring managers
  4. Increase engagement of field employees during the onboarding process

OTHER DUTIES

  1. Keep apprised of Human Resources employment laws applicable to duties
  2. In collaboration with the Employee and Labor Relations Manager, support employee investigations surrounding LOA cases and employee separations
  3. Develop and maintain SOPs and process flows as needed
  4. Perform audits on various topics to ensure integrity of HRIS data and communicate to other HR team members as needed to correct discrepancies
  5. Generate standard, adhoc, and custom reports for the HR department as required
  6. Maintain strict level of confidentiality in all matters of a sensitive nature regarding employees or disciplinary actions, appraisals, salary information and all other employment records
  7. Perform other duties and projects as assigned

SUPERVISORY RESPONSIBILITIES

REQUIRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES

  1. Bachelor’s Degree in Human Resources, Business or related field; or equivalent years’ experience
  2. At least three years of relevant Human Resources experience
  3. HR acumen and technical aptitude, with proven experience in reporting HR/HRIS
  4. Experience managing data, specifically with validating and auditing data and reports
  5. Experience using LinkedIn Recruiter and other sourcing tools/social media
  6. Diversified recruiting background across multiple industries, locations, and tiers of employment
  7. Strong interpersonal skills to build relationships within the organization and candidates
  8. Effective project management, prioritization, multi-tasking, and time management skills to meet or exceed deadlines
  9. Committed to privacy, confidentiality and ethical conduct
  10. Service oriented attitude with a sense of urgency
  11. High attention to detail and accuracy
  12. Familiar with principles and practices of Human Resource functions
  13. Critical thinker to identify areas of improvement and make recommendations
  14. Excellent verbal and written communication skills; effectively converse with all levels of the Company
  15. Advanced computer skills in Microsoft Office Suite; including Excel
  16. Excellent task management, verbal and written communication skills, and follow-up

REQUIRED CERTIFICATIONS AND LICENSES

PREFERRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES

  1. Previous experience in Rail Transportation, Supply Chain Logistics, or Manufacturing industries
  2. Experience with HR databases and HRIS systems; preferably Ceridian
  3. Experience working in a multi-state, field-focused organization
  4. Leave of absence administration and compliance

WORK ENVIRONMENT

  1. Onsite at the Corporate Office four days per week (Monday – Thursday). Onsite requirements are subject to change at any time

  1. Exact starting salary is determined by merit, seniority, geographic location, education, training, and/or experience related to job duties and responsibilities
