The purpose of the Administrative Assistant in this role is to provide essential support across multiple operational areas, including Accounts Payable, data entry, warehouse operations, and supply management. This position is responsible for assisting with various Accounts Payable processes, ensuring accurate and timely data entry into company software systems, and maintaining organized records. The Administrative Assistant will also manage the receipt of shipments in the warehouse, verify inventory, and coordinate the purchasing of supplies. By performing these diverse tasks with attention to detail and efficiency, the role ensures the smooth functioning of financial, operational, and logistical activities, contributing to the overall success and productivity of the organization.

The purpose of the Administrative Assistant in this role is to provide essential support across multiple operational areas, including Accounts Payable, data entry, warehouse operations, and supply management. This position is responsible for assisting with various Accounts Payable processes, ensuring accurate and timely data entry into company software systems, and maintaining organized records. The Administrative Assistant will also manage the receipt of shipments in the warehouse, verify inventory, and coordinate the purchasing of supplies. By performing these diverse tasks with attention to detail and efficiency, the role ensures the smooth functioning of financial, operational, and logistical activities, contributing to the overall success and productivity of the organization.
What you’ll do:
- Enter customer work orders into the Company's software system.
- Assist with various Accounts Payable processes including, but not limited to, data entry, investigating vendor issues, reviewing and mailing monthly invoices, verifying cash receipts.
- Receive and process shipments in the warehouse as needed.
- Maintain the Company's tool room, assist with tool purchases and repairs, and track tool calibrations.
- Process vehicle registrations and maintain the Company's EZ Pass program.
- Purchase office, cleaning and safety supplies.
- Book travel and hotels as needed for technicians.
- Maintains the Company's uniform rental/purchase program.
- Other duties as assigned.
To be considered, interested applicants should possess:
- Minimum of 3 years of administrative experience, preferably in a “service industry”.
- Excellent data entry and computer skills, including Microsoft Suite.
- Excellent attention to detail and a high level of accuracy.
- Ability to work independently and within a team .
- Stable work history.
- Excellent verbal and written communication skills.
- Willingness to work in both an office and warehouse setting (as needed).
- Ability to meet deadlines.
- Ability to lift up to 35 pounds.
