Job Title: Bilingual Receptionist
Location: San Francisco, CA 94103 (East of Civic Center)
Schedule: Monday to Friday, 8:30 am – 5:00 pm
Job Summary:
We are seeking a reliable and organized Receptionist to provide front desk support during an employee's parental leave. The Receptionist will be responsible for managing the front door, greeting clients, handling multi-line phone systems, and performing various administrative tasks to maintain smooth office operations.
Responsibilities:
Answer the Front Door and Greet Clients and Visitors: Monitor the front entrance, ensuring security and proper access control.
Warmly greet clients, visitors, and vendors upon arrival.
Provide clear directions or escort visitors to appropriate meeting rooms.
Maintain a professional and welcoming reception area at all times.
Conduct Client Check-Ins and Ensure Proper Visitor Logging: Register all visitors and clients upon arrival using digital or manual log systems.
Issue visitor badges and ensure return upon departure.
Inform staff members promptly of their visitor's arrival.
Manage appointment schedules and notify relevant team members of cancellations or delays.
Manage Multi-Line Phone Systems: Answer and direct incoming calls efficiently and professionally.
Screen calls and route them to the appropriate departments or personnel.
Take detailed messages and ensure timely follow-up.
Provide basic information to callers about office hours, location, and general inquiries.
Sort and Distribute Incoming Mail Efficiently: Receive, sort, and distribute mail and packages to appropriate staff members.
Prepare outgoing mail, including certified or priority mail as required.
Maintain records of incoming and outgoing shipments.
Monitor and Replenish Office Supplies as Needed: Regularly check inventory of office supplies and equipment.
Order and restock supplies to ensure uninterrupted office operations.
Liaise with vendors for office supply orders and resolve any discrepancies.
Maintain organized storage for office supplies and materials.
Qualifications:
Prior experience in a receptionist or administrative support role preferred.
Excellent communication and customer service skills.
Ability to handle a multi-line phone system professionally.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to maintain confidentiality and professionalism in all interactions.
Reliable and punctual with a positive and proactive attitude.

Pay Details: $20.00 to $25.00 per hour
