What We are Looking For:
Bender Companies is seeking an experienced Executive Assistant to support our CEO while also overseeing key office management duties. This is a role where you’ll provide high-level administrative support to the CEO and contribute to the smooth functioning of daily office operations. The ideal candidate will be organized, proactive, and skilled at managing multiple responsibilities with precision.
Here are some things that will make you successful:
Minimum of 2 years of executive assistant experience, supporting C-suite executives or senior leadership
Exceptional organizational, communication, and multitasking skills
Ability to handle sensitive information and maintain confidentiality
Experience with office management duties
Proficient in Microsoft Office
Notary certification is a plus (or willingness to obtain)
Strong attention to detail and ability to work independently
What you will be doing:
As the Executive Assistant to the CEO and Office Manager, you will be responsible for managing the CEO’s communications, administrative tasks, and helping to streamline operations. You will also manage key office functions such as processing mail, overseeing office supplies, and handling shipping logistics. This role is ideal for someone who enjoys a fast-paced environment, has a keen eye for detail, and can juggle both executive support and office management responsibilities seamlessly.
Core responsibilities:
CEO
Assist the CEO with Real Estate transactions including preparing documents for signature, acting as the transaction manager by tracking progress of open items from the entire team, and assisting in communication and coordination with lenders and investor partners.
Assist in preparing investment presentation materials
Facilitate initial setup of accounts for new acquisitions including credit accounts and utility accounts.
Track and keep organized legal matters providing regular updates to CEO and other relevant parties
Plan and coordinate company’s Annual Leadership Summit
Effectively manage and assist with CEO’s schedule, including travel accommodations.
Assist CEO with various tasks as delegated and assigned
Office Management
Oversee office logistics including shipping, mail handling, scanning documents, and maintaining supplies
Provide notary services and other administrative support as needed.
Organize and maintain office systems including company uniforms and other company products.
Plan and coordinate periodic corporate events, lunches, and dinners.
Other duties as assigned
