About Our Client


Our client is a dynamic and growing organization that requires a highly skilled Executive Assistant to serve as the right-hand person to the Chief Operating Officer. This is a catch-all role for a generalist who thrives in a fast-paced environment, managing tasks across operations, compliance, vendor management, legal documentation, and data analysis. The ideal candidate is a highly organized, proactive problem solver who can streamline workflows, take ownership of projects, and ensure seamless execution.


About the Role


This is not a traditional administrative support rolethis is a critical, high-impact position. We need someone who can manage priorities, develop SOPs, optimize workflows, and support strategic decision-making. The ideal candidate will be proficient in Monday.com, Salesforce, AI tools, and Excel, with experience handling compliance, legal matters, and vendor management.


Key Responsibilities



  • Task & Workflow Management: Own, track, and execute delegated tasks using Monday.com and other tools to improve efficiency.
  • Follow-Ups & Accountability: Ensure responses, approvals, and confirmations from various stakeholders are received and tracked.
  • Organization & Documentation: Create and manage Standard Operating Procedures (SOPs), organize legal documents, and maintain compliance-related records.
  • Technology & AI Integration: Leverage AI tools, Salesforce, and Excel for automation, data analysis, and reporting.
  • Process Improvement & Automation: Identify inefficiencies and suggest process improvements for operational efficiency.
  • Communication & Coordination: Manage emails, scheduling, and internal communications while maintaining professional discretion.


Qualifications Required



  • Highly Organized & Detail-Oriented Can manage multiple priorities and keep tasks structured.
  • Strong Executor Takes initiative and follows through without constant reminders.
  • Proactive & Resourceful Identifies problems and implements solutions independently.
  • Process-Driven Thinks in workflows and structured execution rather than ad hoc management.
  • Tech-Savvy Comfortable with Monday.com, Salesforce, Excel, AI tools, and Google Workspace.
  • 3+ years of experience as an Executive Assistant, Project Manager, or Operations Manager.
  • Experience supporting C-suite executives or high-level leadership.
  • Proficiency in task management tools, Google Sheets, workflow tracking, and Excel.
  • Experience handling compliance, legal documentation, and vendor management.
  • Ability to track multiple priorities and manage follow-ups independently.


Preferred



  • Background in business operations, finance, or legal administration.
  • Experience working in fast-paced, high-growth environments.
  • Strong data analysis and reporting skills.
  • Familiarity with AI-driven automation tools.


Compensation & Benefits



  • Base Salary: $85,000-120,000
  • Bonus Structure: Performance-based incentives available.
