Distinctive Roofing, a premier, family-owned business with over 25 years of excellence, is seeking a motivated Administrative & Office Assistant/Receptionist to join our team in Pompano Beach, FL. This full-time, on-site role is essential in maintaining our office’s smooth operation and ensuring exceptional client interactions. 11am to 7pm shift required for this position.

What You’ll Do:

Customer Interaction & Reception

  • Greet and welcome visitors professionally and warmly.
  • Provide information to clients and ensure a positive customer experience.
  • Manage high call volumes using a multi-line phone system, directing calls and taking messages efficiently.

Administrative & Clerical Support

  • Assist office staff with administrative duties, including filing, photocopying, and organizing documents.
  • Maintain accurate customer records and databases.
  • Handle contract management and prepare signing packages.
  • Perform basic bookkeeping tasks, including order entry, invoicing, and payment management.
  • Coordinate and manage schedules, appointments, and site visits for the sales team.
  • Assist with office and internal communication to ensure smooth operations across all departments.

Office & Inventory Management

  • Maintain a clean and organized reception area and communal spaces.
  • Oversee and coordinate cleaning staff.
  • Manage company vehicle fleet logistics.
  • Maintain office supplies inventory and control the office supplies budget.
  • Manage inventory for the garage/warehouse and ensure supplies are well-stocked.
  • Handle mail distribution, postage, and office package management.

Event & Internal Marketing Support

  • Plan, organize, and execute internal marketing events for the team in collaboration with the marketing team.
  • Support in organizing company celebrations, team-building activities, and office events.

  • Physically Capable – Able to lift 50 lbs and move around the office as needed.

Qualifications:

  • Experience: 1 year minimum of experience in clerical, office administration, or customer service and 2 years minimum in customer service (phone).
  • Education: High school diploma or equivalent (preferred).
  • Language: English required; Spanish is a plus.
  • Age: 18 years or older.
