Distinctive Roofing, a premier, family-owned business with over 25 years of excellence, is seeking a motivated Administrative & Office Assistant/Receptionist to join our team in Pompano Beach, FL. This full-time, on-site role is essential in maintaining our office’s smooth operation and ensuring exceptional client interactions. 11am to 7pm shift required for this position.

What You’ll Do:
Customer Interaction & Reception
- Greet and welcome visitors professionally and warmly.
- Provide information to clients and ensure a positive customer experience.
- Manage high call volumes using a multi-line phone system, directing calls and taking messages efficiently.
Administrative & Clerical Support
- Assist office staff with administrative duties, including filing, photocopying, and organizing documents.
- Maintain accurate customer records and databases.
- Handle contract management and prepare signing packages.
- Perform basic bookkeeping tasks, including order entry, invoicing, and payment management.
- Coordinate and manage schedules, appointments, and site visits for the sales team.
- Assist with office and internal communication to ensure smooth operations across all departments.
Office & Inventory Management
- Maintain a clean and organized reception area and communal spaces.
- Oversee and coordinate cleaning staff.
- Manage company vehicle fleet logistics.
- Maintain office supplies inventory and control the office supplies budget.
- Manage inventory for the garage/warehouse and ensure supplies are well-stocked.
- Handle mail distribution, postage, and office package management.
Event & Internal Marketing Support
- Plan, organize, and execute internal marketing events for the team in collaboration with the marketing team.
- Support in organizing company celebrations, team-building activities, and office events.

Qualifications:
- Experience: 1 year minimum of experience in clerical, office administration, or customer service and 2 years minimum in customer service (phone).
- Education: High school diploma or equivalent (preferred).
- Language: English required; Spanish is a plus.
- Age: 18 years or older.
