Company Description United Building Company, an Affordable Housing Contractor, is looking for an Administrative Assistant to join the team. We specialize in building multi-family apartments throughout the Los Angeles area. Role Description We are seeking a full-time Construction Administrative Assistant to join our team at United Building Company Inc. located in Redondo Beach. As a Construction Administrative Assistant, you will be responsible for coordinating with the Project Managers, Superintendents, Sub-Contractors, and other team members to ensure smooth operations and timely completion of projects. In addition, you will perform a variety of administrative tasks such as organizing documents, processing invoices, and responding to emails and phone calls. You will need to be proficient in Excel spreadsheets as well as Microsoft Word. This role will include some accounting responsibilities, so bookkeeping skills are beneficial. Job Responsibilities Work with Project Managers on Project Closeout Documentation - Warranty Manuals and Maintenance Manuals Create Binders and CDs for Clients Follow up on billing Follow up on invoice releases Follow up on calls for proposal requests Keep project warranty tracking log updated Track Insurance Prevailing wage compliance tracking DocuSign Miscellaneous tasks Qualifications High school diploma or equivalent required; additional training or education in office administration or construction technology is a plus Minimum of two (2) years of experience in administrative support, preferably in the construction industry Excellent organizational and time-management skills Strong written and verbal communication skills Experience with Microsoft Office Word, Excel, PowerPoint, and Google Suite Ability to work well with others in a team-oriented environment Detail-oriented with the ability to multi-task Working knowledge of Quickbooks is a plus
