Key Responsibilities

  1. Answer promptly all phone calls, handle with care on-hold calls and properly transfer them to the recipient.
  2. Take messages accurately, timely deliver to the recipient.
  3. Ensure the switchboard runs well with minimum breakdowns.
  4. Welcome guests/visitors, internal managers/staff, provide prompt service/guidance to inquiries.
  5. Ensure visitors’ proper registration as per HSSE requirement for safety purpose.
  6. Receive/dispatch courier, inter-office mail /express delivery.
  7. Deal with queries from the public and customers.
  8. Maintain a clean and tidy reception desk and mailing storage.
  9. Monitor the display of LED screen at the reception and TV display in 3 floors.
  10. Stationery ordering for office and warehouses.
  11. Parking card registration for Sofic office.
  12. Access cards registration management for Sofic office.
  13. Monitor the utilization of courier (HCMC), Grab, XanhSM (VNM all locations).
  14. Payment coordinator and contract management for stationery, courier, Grab, XanhSM, parking vendors.
  15. Reports and accrual for Admin related expenses.
  16. Logistic support for events.
  17. Support Area Leadership Team with Admin related matters.

We Are Looking For

  1. Talent with at least 1 year of relevant experience.
  2. Possess Certificate in Office Administration/ Reception/ Business skills or equivalent.
  3. Strong interpersonal skills.
  4. High sense of urgency.
  5. Excellent English, both written and spoken.
  6. Computer literate, especially Microsoft Word, PowerPoint, Excel.
  7. Good communication skills and customer service mindset.
