Job Title: Human Resources Specialist
Job Summary: As a Human Resources Specialist, you will provide essential administrative support to our Human Resources and Payroll departments. This pivotal role ensures the seamless operation of HR and Payroll processes, contributing to the overall efficiency and effectiveness of our team. We are looking for a detail-oriented professional with exceptional written and verbal communication skills to join us in fostering a positive and productive workplace.
Key Responsibilities:
- Maintain and update employee information in Human Resources databases, ensuring accuracy and confidentiality.
- Handle the preparation, distribution, and filing of Human Resources documents, including employment contracts, employee informational materials, and policy updates, to streamline Human Resources operations.
- Assist with job postings, resume screening, and candidate communications, facilitating the recruitment process, including posting job openings on various platforms, screening resumes to identify qualified candidates, and coordinating interview schedules and communications to ensure a smooth candidate experience.
- Organize and conduct onboarding sessions, prepare onboarding materials, and guide new hires through the initial stages of their employment to ensure they are effectively integrated into the organization.
- Address routine Human Resources-related inquiries and provide clear information on policies, procedures, and benefits, fostering a supportive work environment.
- Facilitate the enrollment, changes, and termination of employee benefits programs, ensuring employees receive timely and accurate benefits information.
- Review, track, and document compliance with training, continuing education, and work assessments, including safety training, anti-harassment training, professional licensure, and aptitude exams and certifications.
- Coordinate all administrative and tracking components of the company's apprenticeship program, tracking on-the-job training hours and certification status to ensure compliance and progress.
- Assist in collecting and verifying timesheets, ensuring timely and precise payroll processing, and contributing to employee satisfaction. Serve as a backup for payroll, as needed.
- Maintain up-to-date knowledge of federal, state, and local Human Resources regulations, assisting with audits and reporting requirements to mitigate organizational risk.
- Demonstrate flexibility and adaptability in handling various tasks and responsibilities, including strong problem-solving skills, effective time management, and the ability to prioritize tasks.
- Perform other duties as assigned.

Position Requirements:
- Bachelor's degree in human resources, business administration, accounting, related field, or equivalent experience required.
- At least three (3) or more years of professional human resource administration needed.
- Attention to detail and ability to handle sensitive information confidentially.
- Excellent communication and interpersonal skills.
