REPORTS TO: Vocational Director POSITION SUMMARY: Bay Path Regional Vocational Technical High School is seeking a detail-oriented, highly organized, and proactive Career & Technical Education (CTE) Secretary to support the Director and Assistant Director in the effective operation of our Career & Technical Education Office. The ideal candidate will have strong communication skills, a professional demeanor, and the ability to manage multiple priorities in a fast-paced educational environment. ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following: Assists with the daily administration of the CTE Office, including data collection and reports for grants, special projects, and the Annual Report. Coordinates and prepares for Advisory Committee meetings, including scheduling, invitations, material prep, and meeting minutes. Arranges conference and travel accommodations for the Director, Assistant Director, School Committee members, and CTE instructors. Collects and inputs student data (e.g., industry certifications and graduation plans) into the MA Department of Elementary and Secondary Education system. Organizes and maintains student graduation portfolios and related documentation. Manages communication, screen calls and visitors, and responds to inquiries in accordance with district policies. Coordinates the promotion and application process for the annual house project. Assists with budget preparation and maintains accurate records of purchase and work orders. Maintains office files, manuals, and resource materials; prepares and distributes reports as needed. Operates a variety of office equipment and software, including desktop computers, copiers, and phone systems. Collaborates effectively with internal departments, students, families, and outside agencies. Upholds strict confidentiality and demonstrates independent judgment in day-to-day responsibilities. Performs any other duties as assigned by the Superintendent and/or their designee. QUALIFICATIONS: Excellent organizational and time management skills. Strong written and verbal communication skills. Ability to multitask and prioritize effectively. Ability to maintain confidentiality and handle sensitive information with discretion. Must be authorized to work in the United States. EDUCATION and/or EXPERIENCE: High School Diploma or equivalent required. Proficiency in Google Workspace, Microsoft Office, and relevant software required. Familiarity with high school administrative procedures and student records systems preferred. Knowledge of Career & Technical Education (CTE) programs and industry trends preferred. SUPERVISORY RESPONSIBILITIES: The Career & Technical (CTE) Secretary does not supervise any staff at Bay Path. TERMS OF EMPLOYMENT: This is a 12 month position. This position is part of the Collective Bargaining Agreement between the Bay Path Secretaries Association and the SWCRVSDC. SALARY: Appropriate step on Secretaries salary schedule pursuant to the BPSA CBA.
