We are rapidly expanding and seeking a highly organized Executive Assistant to support our executive leadership in managing daily operations, strategic initiatives, and administrative functions.
Position Overview
The Executive Assistant will play a crucial role in optimizing the efficiency of the CEO and executive team. This individual will be responsible for managing schedules, coordinating meetings, handling communications, and ensuring seamless day-to-day operations. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced, dynamic environment.
Key Responsibilities
- Executive Support: Provide high-level administrative assistance to the CEO and executive leadership, ensuring efficient workflow.
- Calendar & Schedule Management: Organize and maintain the CEO’s calendar, schedule meetings, and coordinate travel arrangements.
- Communication Management: Handle confidential correspondence, draft emails, and serve as a key point of contact for internal and external stakeholders.
- Meeting Coordination: Prepare agendas, take meeting minutes, and ensure follow-ups are completed.
- Project Management: Assist in managing key company initiatives, tracking deadlines, and ensuring deliverables are met.
- Operations Support: Work closely with leadership on operational tasks, including handling documents, reporting, and vendor coordination.
- Confidentiality & Discretion: Manage sensitive information with professionalism and confidentiality.
- Process Optimization: Identify and implement improvements to streamline administrative processes.
Qualifications & Skills
- 5+ years of experience as an Executive Assistant, Chief of Staff, or similar role supporting C-suite executives.
- Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and project management tools like Monday.com.
- Exceptional organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to work independently, anticipate needs, and take initiative.
- Strong problem-solving skills and ability to prioritize tasks effectively.
- Experience in manufacturing, logistics, or a fast-paced operational environment is a plus.
