We are seeking an
Office Administrator
for a full-time position for our client, a small, growing local medical manufacturer located in
Portsmouth, NH.
The Office Administrator will be responsible for administrating customer orders, shipping, maintaining the CRM database, and order entry. Additionally, the role will include management and assistance in customer and vendor billing. Success in this position will look like a reliable and organized individual who efficiently manages customer orders and billing processes while maintaining excellent customer relationships. This is a full-time position located in Portsmouth, NH.
As a Office Administrator you will be responsible for: Shipping Documentation & Scheduling: Prepare daily shipping documentation, including BOLs, COAs, and packing lists. Generate shipping labels and schedule pickups with UPS, FedEx, and Freight Carriers. Prepare billing and invoices related to shipping. Customer Service:
Provide tracking information to customers and answer phone calls. Maintain reception duties and direct customers to appropriate resources. Support sales, check daily mail, and maintain the Approved Vendor List (AVL). Billing / Collections:
Generate invoices and manage billing communications. Coordinate with finance on payment systems and manage collection reports. Data Entry:
Input data in the Customer Relationship Manager (CRM) system. Update contact information from sales leads and monitor related email activities. Buyer Assistant:
Prepare purchase requisitions and purchase orders. Expedite orders and provide shipping updates to other departments. Maintain office supplies inventory. Perform additional project tasks as assigned by management. The Ideal Candidate for this role will have:
Highly organized, reliable, and detail-oriented. High School or College education. Minimum of 5 years of experience required
