Duties
- Answering phones, directing callers to proper department, and taking detailed messages.
- Incoming Mail: Open, Sort, Distribute
- Mail Outgoing: checks/correspondence
- Scanning Receivable/Deposit Checks
- Filing Invoices & Employee Documentation
- Ordering Office Supplies, Blank Checks, Envelopes
- General Office Tasks & Organization
- Creating Deposit Slips & In-Branch Bank Deposits; trips to various banking institutions.
- Assisting with Rental Tenant Communication and Account Reconciliation
- Processing Rental Tenant Move-In/Move-Out Paperwork
- Communicating Availability and Rental Details to Prospective Lessees
- Running Reports and Background Checks for Applicants
- General Cross-Training to Assist Office Staff
- Filing, scanning, and copying sensitive documents
- Executive assistant duties - ranging from scheduling appointments to booking hotels/transportation.
- Assisting property managers with marketing efforts
- Handle and coordinate active calendars
- Schedule and confirm meetings
- Ensure file organization based on office protocol
- Provide ad hoc support around office as needed
Qualifications
- High School Graduate or GED
- Minimum 1 year in Administrative Assistant/Secretary experience. Property Management Admin Experience a plus.
- Fluent in English and Spanish
- Strong interpersonal, customer service and communication skills
- Ability to multitask
- Proficient in Microsoft Office suite
- Proficient in typing
- Proficient in basic math
