A well-known, Global Asset Management firm is hiring for an eager Office Assistant to proactively manage multiple floors in their Manhattan Office. This is a wonderful opportunity to join a firm with a fantastic reputation and work closely with their Office Services team to ensure the office is running efficiently.

This role is 5 days/week in the office in Midtown.

Hours generally 8:30/9am-4:30/5pm.

Salary commensurate with experience + discretionary bonus + great benefits, 401k, etc.

  • Must have a roll up sleeves attitude – no job too small, low ego mentality, proactive.
  • A super positive demeanor, bringing people together and being the calm in the chaos, a culture leader for the firm.
  • Possesses an inner sense of urgency and proactive nature.
  • Seeking 1-4 years of relevant office coordination experience or customer service driven hospitality background.
  • Must be happy to pitch in where needed and have a flexible attitude and work cross functionally with all levels of staff and teams.
  • Comfortable lifting up to 25 lbs.
  • Process driven, with strong follow through skills.
  • Strong MS Office skills, including Excel formulas to prepare inventory sheets and budgeting.

Responsibilities include:

  • Provide backup coverage to Receptionist and Facilities Coordinator.
  • Assist with mailroom services, including sorting, distributing, collecting, and metering of mail and parcels on an accurate and timely basis and organization.
  • Handle office catering set up and clean up.
  • Responsible for cleaning and organization of conference rooms and furniture.
  • Stock inventory and ensure supply and copy rooms are organized.
  • Organize and maintain inventory of kitchen supplies.
  • Maintain organization and cleanliness of shared office spaces.
