Job Description Position Overview The Executive Assistant (EA) to the Executive Vice President of Business Operations & Chief People Officer will provide daily administrative support for two Executives: overseeing all of HR, IT, Security, Business Transformation, Facilities and Real Estate teams. The EA will be responsible for a broad range of activities including extensive calendar management, booking travel, approvals, processing expense reports, organizing meeting notes and other duties as assigned. The Executive Assistant will have the ability to manage and proactively build relationships across the Invenergy senior leadership team. This role requires the successful candidate to work full-time from our Chicago office. Responsibilities: Manage both Executive’s calendars, coordinating events, scheduling meetings, organizing attendees, and overseeing all travel arrangements in MS Outlook & Teams. Proven success with time management and ability to work proactively, always anticipating the needs of the Executives and resolving operational/administrative issues before they arise. Ensure the Executive’s schedules run efficiently and on time, while proactively highlighting priorities for upcoming activities and meeting preparation. Create, edit, and proofread MS PowerPoint slides on a weekly basis. Ability to utilize and leverage technology to perform responsibilities, including a commitment to maintaining electronic records and other digital mediums (CRM, SharePoint, OneDrive, etc.). Provide a similar level of support to the Executive’s teams, as needed, or required. Responsible for consolidating weekly functional area reports. Manage weekly, monthly, and quarterly team meetings. Manage contract administration processes and procedures, as well as purchase order approval workflows for team. Willingness to assist with booking personal/familial appointments and travel as needed. Minimum Qualifications: At least 2+ years of relevant full-time experience supporting a high-level executive. Strong proficiency in MS PowerPoint, Outlook, MS Teams, Word, and Excel. Discretion when working with sensitive/confidential company and personal information. Demonstrates high-level of personal integrity and professionalism, while consistently being proactive and planful. Possess excellent time management and problem-solving skills with significant experience proactively and effectively managing multiple projects simultaneously. Interacts positively and professionally with Executive’s external and internal networks, while exhibiting sound judgement on the ability to make reasonable decisions in the absence of direction. Previous experience supporting complex assignments requiring cross-functional organization cooperation. Willingness to be available during atypical hours, if a high-priority event arises. Eligible to work in the United States without the need for employer visa sponsorship now or in the future. Preferred Qualifications: 5+ years of relevant full-time experience supporting a high-level Executive. Bachelor's degree Previous calendar management experience supporting multiple Executives. Base Pay Base Pay: $26.67 - 46.70 USD Hourly Bonus: 15% The base pay range reflects the minimum and maximum target salary for the position. Invenergy considers a number of factors when determining base pay offers such as the scope and responsibilities of the position and the candidate's experience, education and skills. In addition to base pay, the total annual compensation package may also include eligibility to participate in our bonus program(s) which are designed to reward individual and company performance.
