Purpose:
The Accounting Clerk supports the accounting department by maintaining financial records, processing transactions, and assisting with the preparation of reports. This position requires a strong attention to detail, the ability to handle multiple tasks, and proficiency in accounting software and spreadsheet tools.
Responsibilities:
- Receive, review, and verify invoices for accuracy, completeness, and compliance with company policies before processing payments.
- Accurately enter financial data into accounting software or spreadsheets, including accounts payable, accounts receivable, and general ledger entries.
- Prepare and process payments, including checks, ACH payments, and credit card payments to vendors.
- Reconcile credit card statements and financial documents to ensure accuracy.
- Maintain accurate records of all accounts payable and receivable transactions, filing invoices, and payment documents for future reference and audits.
- Communicate with vendors to resolve payment discrepancies, discrepancies in invoicing, or other related issues.
- Regularly reconcile accounts receivable and payable to ensure that discrepancies are identified and addressed.
- Assist with monthly, quarterly, and annual financial reporting related to accounts payable, including generating reports for management.
- Help with month-end closing procedures, ensuring that all accounts payable transactions are accurately recorded before the close of the period.
- Perform general office duties such as filing, and assisting with other clerical tasks as needed.
Skills & Qualifications:
- An associate degree or a bachelor's degree in accounting, finance, or a related field is preferred.
- Two or more years of relevant accounting work experience.
- Proficiency in Microsoft Office (Excel, Word, etc.) and accounting software (e.g., Deltek CostPoint, Sage, or similar).
- Strong attention to detail to ensure accuracy in data entry and recordkeeping.
- Good written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Ability to identify issues and find solutions when discrepancies or errors arise.
