Reporting to the Director of Maintenance, the Service Manager plays a key role in ensuring smooth operations and exceptional customer service. This position is responsible for a variety of administrative and client-facing duties, including managing shop scheduling, generating quotes, answering business inquiries, and handling general administrative tasks as needed. Acting as the primary point of contact for customers, the Service Manager will oversee maintenance, repair, and service inquiries, providing timely updates and proactive solutions. Building and maintaining strong client relationships is essential to ensuring customer satisfaction and long-term retention. This role requires excellent communication, organizational skills, and a commitment to delivering a seamless service experience.

Work Order & Invoicing:
Close all work orders and generate invoices immediately upon job completion. Ensure all invoices are promptly submitted to accounting. Review and revise invoices as directed by accounting. Customer Communication & Scheduling:
Answer business phone calls from 7:00am to 3:30pm. Schedule and maintain shop capacity, ensuring efficient workflow. Contact previous customers due for recurrent maintenance and schedule services. Generate quotes and obtain signed work authorizations before work begins. Provide daily progress updates to customers with active work orders. Administrative & System Management:
Maintain Corridor as the system administrator. Create and manage Corridor accounts for all employees with access. Ensure deposits are collected for all work exceeding $1,000.00. Organize and maintain work order folders for proper documentation. Perform administrative tasks as needed to support shop operations. Compliance & Process Improvement:
Assist with safety audits and inspections, implementing corrective actions when necessary. Oversee maintenance scheduling to optimize efficiency and minimize downtime. Maintain accurate documentation of all maintenance activities, including inspections, parts usage, and repairs. Proactively identify areas for process improvement and implement strategic solutions to optimize efficiency, minimize errors, and enhance the overall customer experience. Warranty Claims Management:
Promptly submit warranty claims to aircraft manufacturers. Proactively follow up on requests for any additional information. Guarantee that all claims are submitted within 24 hours of work order completion. Qualifications:
4+ years of experience in customer service, front desk, or office administration, preferably in the field of aviation. FAA Airframe and Powerplant (A&P) certification is preferred. Familiarity with FAA regulations, particularly Part 145, and general aviation maintenance practices is preferred. Experience in scheduling, budget management, and maintaining customer relationships is a plus. Excellent listening abilities. Exceptional written and verbal communication skills. Highly organized with strong time management abilities. Capable of managing multiple tasks and adapting to changing business demands. Proficient computer skills. Education:
High School Diploma or equivalent required. Associate degree or higher in Office, Business, or Aviation Administration preferred. Physical Requirements:
Prolonged periods sitting/standing at a desk and working on a computer. Ability to lift a minimum of 30 lbs. Ability to stand for prolonged periods of time. Proficient use of hand tools (Cleaning tools, breaking down boxes, etc.). Ability to hear and communicate clearly in noisy environments, including in the maintenance shop and on the phone.
