GENERAL SUMMARY:

The Lab Service Associate I is a cross-functional position reporting to the Office Manager and will support the Facilities and CMC Departments. This is a full-time onsite position. The Lab Service Associate I will maintain a high level of organization to ensure that all lab materials are available and easily accessible. This role will assist in ordering common consumables, including plastics, media, and reagents, and will maintain inventory in proper storage areas.

The Lab Service Associate I will work closely with the Facilities and EH&S lead to ensure that all OSHA standards regarding lab materials are met and adhered to. This role will also assist in managing lab waste, including medical waste, hazardous, and non-hazardous waste. Additionally, the position will manage lab coat inventory and communicate with the vendor regarding deliveries or replacements.

The Lab Service Associate I will assist in managing gas supplies, ensuring gases are stored safely, and will work with the Facilities and Engineering team weekly regarding process gas inventory needs. The position will ensure that items are stored correctly, equipment is maintained, and monitoring is accurate. This role is onsite, Monday through Friday, during normal business hours (8 am – 5 pm).

RESPONSIBILITIES:

Inventory – 30% of TIME

  • Take daily/weekly counts of common consumables to ensure stocks are kept up with the consumption rate.
  • Ensure items are readily available and easily accessible for lab staff.
  • Maintain organized stock rooms, racks, and freezers.
  • Ensure inventory within and outside of labs is properly organized.
  • Keep lab coat inventory maintained and easily accessible.

Purchasing – 20% of TIME

  • Purchase common lab consumables, including plastics, media, and reagents in a timely manner to avoid lapses in material availability.
  • Place orders weekly, working closely with vendors and internal purchasing agents to ensure best value for materials.
  • Consolidate orders across R&D departments to optimize purchasing.

Lab Operations – 40% of TIME

  • Collaborate with stakeholders to optimize inventory management and purchasing of lab materials, ensuring adequate stock levels.
  • Act as a liaison between lab teams and Facilities for the receipt and handling of bio samples, reagents, and consumable supplies.
  • Manage incoming sample receipt, accessioning, distribution, and storage space coordination.
  • Assist with routine maintenance of lab equipment, such as biological safety cabinets, autoclaves, fridges, and freezers, including routine cleaning, thawing, and inspections.
  • Ensure proper waste disposal practices and maintain organized workspaces.

EH&S Duties – 5% of TIME

  • Ensure items are stored according to OSHA standards.
  • Work closely with EH&S Lead to ensure proper disposal of lab waste and adherence to OSHA standards.
  • Ensure labeling of stored materials and new equipment is accurate and up-to-date.
  • Collaborate with lab employees and managers to understand hazards and implement risk reduction measures.
  • Perform routine safety and housekeeping inspections.

Other Duties – 5% of TIME

  • Maintain a clean and tidy office environment around kitchen and break areas, assisting with Office Operations daily.
  • Assist with replenishing office supplies.
  • Assist with scheduling vendor and visitor appointments and work with the property manager to schedule bulk waste removal regularly.
  • Perform other duties as assigned by management.

QUALIFICATIONS:

Education:

  • High School Diploma or equivalent.

Experience:

  • 1+ years of lab inventory/purchasing experience within the Biotech or a similar industry.
  • Experience working in microbiology labs or corporate settings with an understanding of general lab best practices.

Skills:

  • Excellent organizational and record-keeping skills.
  • Familiarity with Microsoft Office Suite (Word, PPT, Excel).
  • Strong communication skills, both written and verbal.
  • Ability to effectively communicate with various groups and stakeholders.
  • Strong problem-solving and troubleshooting skills.

Physical Requirements of the Role:

  • This is a full-time, onsite role at the designated location, with an expectation to be present during regular business hours.
  • Must be able to lift 50 lbs without assistance and be capable of bending, lifting, and twisting regularly.
  • Ability to wear PPE (e.g., steel-toed boots, safety glasses, work gloves) and respond to safety alarms as needed for tasks.
  • Adhere to all health and safety policies, including possible vaccination or medical surveillance requirements.
