Job Title: Human Resources Coordinator – Leaves of Absence & Safety

POSITION SUMMARY

The Human Resources Coordinator will manage all aspects of leaves of absence and workers compensation claims. Development of reports using system report writing function, ongoing auditing, analysis and reconciliation of data and maintenance of records and files.

The Human Resources Coordinator provides broad professional HR services to all Eden Housing managers and employees in the areas including (and not limited to): employment and policy administration/compliance, workers compensation, leave management and safety programs. The Human Resources Coordinator is responsible for excellence in customer satisfaction and operating cost efficiencies for functional areas and serves as a resource to both managers and employees. Provides supports to the other members of the human resources team, as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Process state disability claims/audits.

Prepare the termination paperwork for departing staff, as needed.

Determining FMLA eligibility and sending out applicable correspondence regarding the status of employee’s leave of absences request.

This position is a liaison between the employees, managers, benefits, and payroll to coordinate employee accommodations, restrictions, pay and benefits.

Interprets company policies and governmental regulations affecting leave procedures. Stays abreast of changes in laws and regulations governing the processing leaves, workers compensation and OSHA.

Analyzes results, investigates any problems, and resolves discrepancies, as appropriate.

Records changes in the payroll system in a timely basis.

Communicates changes to employees regarding benefits and pay when there is a leave of absence.

Maintains timely and accurate recordkeeping systems for leave of absences including wages to be paid.

Coordinates with bi-weekly payroll processing to ensure all paid or unpaid time off is properly entered into the payroll cycle for employees on a leave of any length.

Engage with employees who request ergonomic assessments.

Create and maintain leave procedures manual in conjunction with the Human Resources Generalist.

Provide administrative support to the Director of Human Resources Ops and VP of Human Resources.

Assisting in coordination of employee special events (Wellness and Safety)

Assisting with implementation of new procedures and training.

Prepare for and lead weekly new employee orientation. Revise and create new materials as needed.

Report Workers Compensation claims within 24 hours.

Ensure timely and accurate processing of all personnel transactions to improve upon the overall operational effectiveness and efficiency of the human resources function.

Sends necessary paperwork to employees, processes claims, and tracks time off due to all Leave of Absence including but not limited to: Personal leave, Workers Compensation, FMLA, Parental Leave, and Disability

Act as point person for employees with inquiries about Leave of Absences and engages in the interactive process with employee if necessary.

Provide administrative and clerical support for department: create mailings/payroll attachments and distribute to employees, assemble benefit packets, file paperwork, etc.

Respond to agency requests for personnel-related information and materials.

Conduct off boarding meetings for voluntary separations by providing final pay, documents and collecting equipment.

Send flowers to employees as instructed by management.

Assist with miscellaneous duties and projects as assigned.

SUPERVISORY RESPONSIBILITIES

This position does not have supervisory responsibilities.

EDUCATION and/or EXPERIENCE

One year of leave processing experience OR an equivalent work experience of three years.

PREFFERED SKILLS and/or ABILITIES

Bilingual in English and Spanish, preferred. Able to effectively communicate (read, write and speak) in both languages

Ability to analyze data. Acceptance and application of the confidential nature of the position.

General knowledge of state and federal labor laws and workers’ compensation.

Experience coordinating and delivering best practices training and development programs.

Able to work with wide variety of personalities and deal with each person in an effective and professional manner.

Strong presentation, communication (verbal and written), influence, decision-making, interpersonal, conflict resolution and time management skills. Ability to communicate and interface professionally with employees and managers. Able to work independently and as part of a team.

Ability to prioritize effectively, think independently and problem solve to ensure all projects are completed in an effective and timely manner.

Able to research, analyze, solve, and follow through on complex cases. Able to successfully meet deadlines and achieve goals.Flexible, agile, innovative, accurate, detailed-oriented and well organized.

Commitment to the organization’s goals and philosophy including excellence in customer service and communication. Able and willing to travel to all company locations to provide HR services, as needed.

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, training outlines, needs assessments, and operational manuals and procedures. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to define and articulate problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
