POSITION DESCRIPTION:

The purpose of the Guest Services Representative is to provide superior service to hotel guests while accommodating their needs and requests while balancing the interests of the hotel. The Guest Services Representative will maintain the hotel standards set forth by hotel management by coordinating with other departments as necessary to fulfill the high expectations of our guests and patrons.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

Check guests in and out of the hotelMake future reservations when necessaryPost and rebate room, tax and other miscellaneous charges to guest accountsAdminister hotel guest payment policiesHandle hotel phone system, transfer calls and take messages for guests and hotel staffPlace, modify and cancel guest reservationsInput all reservation changes and any special requests into the Agilysys LMS systemMaintain an accurate daily inventory of available roomsCoordinate with other departments to fulfill special guest requestsCoordinate and communicate with casino staffCommunicate hotel facilities and services to guests at check-inMust be able to provide information regarding local area facilities for guestsAdminister all hotel policies, procedures and standardsResponsible for maintaining hotel key security systemRead and communicate effectively and clearlyBe knowledgeable of any special promotions or rate programsBe knowledgeable of the casino's promotionsMaintain cleanliness and orderliness of front desk and lobby areaKnow how to properly handle wake-up callsOpen and close shifts; make accurate cash dropsEnsure all credit cards, cash and change funds are balanced throughout the shiftCommunicate with incoming staff and management by logging pertinent information in the front desk logbookCommunicate lost and found inquiries to management or Director of HousekeepingNotify housekeeping and maintenance of any reported problems in guest's rooms or on hotel groundsMust wear proper uniform at all timesPractice safety standards at all timesCarry out any reasonable request by management if capable of performingOTHER DUTIES AND RESPONSIBILITIES:

NOTE: These include, but are not limited to the following (additional responsibilities may be assigned as necessary):

Organize and attend monthly front desk / guest services staff meetingsAttend weekly management meetings as requiredAssist the hotel in oversell situationsEnsure all necessary supplies are available to the departmentsHelp with room setup, empty trash, etc.Assist other departments as needed or assignedRun outside errands to pick up items as neededDevelop and maintain rapport with other West Bay Casino & Resort staffWork and communicate with departments to ensure the smooth operation of hotelMaintain an image of professionalism and competence to guests, clients and hotel personnel at all timesWork front desk and hospitality shifts as neededREQUIRED QUALIFICATIONS (INCLUDES EDUCATION, SKILLS AND EXPERIENCE):

Must be 18 years of age or olderKnowledge of economic and accounting principles and practices, banking, and the analysis and reporting of financial dataExcellent oral and written communication skillsExpert computer skills, ability to compose and create reports, letters, memos and proceduresMature judgment and professionalism in handling all mattersRequired knowledge of administrative and clerical procedures and systems, such as managing files and records and other office processes, procedures and terminologyAbility to read and understand information and ideas presented in writingExcellent math skillsExcellent organization and problem-solving skillsKnowledge of InfoGenesis software recommended, but not requiredWORKING CONDITIONS AND PHYSICAL EFFORT:
